As you may already know, Microsoft PowerPoint offers a robust feature set for creating presentations. But what kind of tools are useful for actually presenting a slideshow? We'll walk you through several features that can help you engage your audience.

Before it's time for your presentation, you can practice with help from PowerPoint itself. Using Presenter Coach , you can receive feedback as you walk through your slideshow.

To use Presenter Coach, head to the Slide Show tab and select "Rehearse with Coach." When your slideshow opens in full screen mode, click "Start Rehearsing" to begin.

You'll see feedback in real-time as you speak and move through your presentation. You can also view a rehearsal report after you finish that summarizes your time spent practicing, filler words you use, your pace, and more.

Plan ahead for your presentation by practicing with this handy built-in tool.

For a personal touch or a way to communicate visually, consider using a live camera feed. With the Cameo feature, you can put your face and voice front and center during your slideshow.

To add the Cameo object, go to the slide, open the Insert tab, and select "Cameo" in the Camera section.

You can then move or resize the object, see a preview using the camera icon, and customize the object using the Camera Format tab that appears when you select it.

If you add the Cameo element to additional slides, your camera feed continues seamlessly through your presentation.

You may have audience members viewing your PowerPoint presentation who have a hearing impairment or speak a different dialect. With subtitles, you can display every word you say during a presentation in the language of your choice.

To set up the subtitles , go to the Slide Show tab and select the Subtitle Settings drop-down menu. You can then adjust the spoken and subtitle languages, the microphone you want to use, and the placement of the captions.

You can check the box above the menu to Always Use Subtitles or use the Toggle Subtitles icon (Windows) or Closed Caption button (Mac) to turn them on and off during your presentation.

For an excellent way to accommodate your audience during your slideshow, give the subtitles feature a try.

When you present your slideshow, you probably want every tool available to you, and PowerPoint has many. To access those tools like a laser pointer or your presenter notes, check out Presenter View .

To use the feature on Windows, go to the Slide Show tab and check the box for Use Presenter View in the Monitors section of the ribbon. Then, start your presentation as normal. On Mac, simply click "Presenter View" on the Slide Show tab.

To start Presenter View during the slideshow, click the three dots on the bottom left and pick "Show Presenter View."

Next, you'll see a dashboard-like screen with everything you need. On the top left is the current slide, to the right is the next slide, and below that you have your notes.

On the left, you can open additional tools, turn subtitles on or off, black or unblack the show, toggle the camera, and end the show.

Presenter View puts everything you need at your fingertips during your presentation.

These may seem like super basic tools, but they can be quite handy while presenting a slideshow. You can use a pen to circle an image or draw an arrow, a highlighter to call out certain text, or a laser pointer to emphasize parts of a slide.

To access the tools in Presenter View, select the Pen and Laser Pointer Tools icon (pen) below the current slide.

To access the tools without Presenter View, select the Pen and Laser Pointer Tools icon on the bottom left of the slide.

Choose a tool and then use your cursor to control it. For the pen and highlighter, you can also pick a color in the pop-up window.

To "put away" the tool you're using, access it using the steps above and deselect it.

Along with using the tools above for making parts of your presentation stand out, you can take advantage of the Zoom feature. With it, you can zoom in on part of a slide , move around if you like, and then zoom back out.

As of November 2022, this feature is not available in PowerPoint on Mac.

In regular slide show view or Presenter View, select the zoom icon (magnifying glass) on the bottom left.

You'll then see a rectangle on your screen indicating the zoom area. Move that rectangle to the spot you want to enlarge and click.

You can then drag to move around the slide while it's zoomed in. Right-click or use your Escape key to zoom back out to the original view.

Just like giving a speech with index cards for your talking points, notes in PowerPoint are just as beneficial. You can include information you want to highlight or further details for text or images you use.

To add presenter notes to your slideshow, open the notes panel. Either select "Notes" in the status bar or drag up from the bottom of the slide in the PowerPoint window.

Then when it's time to present, use Presenter View to display your notes during the show.

With an update to PowerPoint in 2022, you can also edit your notes while you present. This is a good way to capture additional points you think of while presenting or if an audience question pops up.

Place your cursor in the notes area on the right side and add or remove text. You can also use the buttons at the bottom to increase or decrease the font size.

Having your speaker notes with you during a slideshow is a key element in a successful presentation.

When you finish creating your PowerPoint slideshow , prepare to present it by trying out these features ahead of time. Then, incorporate them into your slideshow where it makes sense. Your audience will be glad you did!

Oral Presentations

Presentation tools.

First of all, decide whether you need to use PowerPoint, another presentation tool such as Powtoon, VoiceThread , YouTube, or no tool at all. The tool you choose depends on a number of factors:

• size of audience – if you have a very small audience, using PowerPoint or other presentation tools may seem too formal
• need for visuals – if images will help your audience better understand your information, choose a presentation tool that can easily and clearly house those images
• presentation context – is your presentation in-person?  Is your presentation virtual?  If virtual, is it real-time or asynchronous?
• need for personalization – if you want to personalize in a virtual presentation, you may want to consider YouTube or a synchronous tool such as Skype or Zoom that allows your audience to see you as you present
• expected format – if most presentations in your organization, or to outside organizations, usually occur in a certain medium, use that medium

Note that PowerPoint is very widely used professionally, but don’t choose PowerPoint just because of that fact.  Choose a presentation tool (or none) based on your purpose, audience, and context.  The rest of this page discusses a few very standard presentation tools that may be appropriate and useful to your presentations.  Realize that there are many more.

PowerPoint has been a standard presentation tool for decades.  With a market share of approximately 95 percent, PowerPoint is considered the industry standard for both business and education. PowerPoint supports over 100 languages and can be used on both Android and Mac devices. There are over 1 billion installations of PowerPoint worldwide, with 30 million presentations created daily.  Because it has been used so widely and for so long, if you determine that PowerPoint is the best tool for a presentation, your task will be to make it memorable, so that your audience doesn’t experience “death by PowerPoint.”  Here are some things to consider to create effective PowerPoint presentations:

• a PowerPoint is not – emphasize not – just your text put onto a slide. Include visuals, charts, diagrams, etc. along with text
• reduce text to main ideas – too much text is hard to read, and audiences cannot read and listen at the same time
• make sure there is enough “white space” on slides so that they are not crammed with too much information
• use a consistent, standard font, usually a sans serif (i.e., no decorative lines on the letters)
• present written information using a font size that your audience can quickly read – no smaller than 20-30 point
• current practice is moving away from PowerPoint’s pre-structured formats, and more toward blank slides, varied in their layout, to maintain audience interest
• maintain a consistent color palette throughout your varied slide designs

To emphasize the need to apply good design principles to PowerPoint slides, look at the following three files.

• The first example provides a student PowerPoint  based on a formal proposal.  The content is very good for a formal proposal but not for a PowerPoint, as it’s all text.
• The second example is a professional presentation which applies some of the design principles discussed, in terms of reducing information on the slides, but uses a standard format.
• The third example offers the same information as the second example, but designs and presents that information differently, using visuals and varying the format.

YouTube can be used for more than entertainment or sales; it can be a useful presentation tool. You may choose to create a YouTube video as your presentation, or to use within a presentation, for a number of reasons:

• to illustrate an overall process or procedure, to help your audience understand by actually seeing it
• to illustrate a small, key step in a process or procedure
• to vary a PowerPoint by inserting a video into the PowerPoint, to illustrate a process or procedure
• to provide specific training when a video makes sense, given the focus of the training (e.g., customer service training – what and what not to do)
• to personalize a virtual presentation and let your audience see and engage with you as the presenter

If you choose to use YouTube as a presentation tool, keep in mind some tips for creating effective YouTube videos in terms of content, delivery, and overall look of the video.

• Keep it relatively short.  Videos over 4-5 minutes may lose viewers.
• Plan your content carefully.  Let your viewers know what you will cover, and then move directly into your main ideas.  Write yourself a script to follow, using language that you’d normally use when speaking.
• Emphasize key ideas by using language on the screen as well as visuals.
• Even though it’s a good idea to write a script, practice your delivery so that it does not seem as though you’re reading from your script.
• Speak clearly, and at an appropriate pace.
• Use language appropriate for your audience.
• Make sure that your sound is clear, without background noise.
• Use a professional background.  Filming in your kitchen or living room, or in an office with other people passing in the hallway, may not present a professional image.
• Consider lighting, so that your audience does not see reflections.
• Create a video that’s interesting to view, with images, animations, charts, or any visuals appropriate to your audience and purpose.

Skype and Zoom are synchronous online tools.  Both allow you to hear and see your audience, share your desktop or presentation slides so that all participants can see, and maintain a written dialogue in a sidebar, which can complement the spoken dialogue.  Use Skype or Zoom if you want to include interaction and real-time discussion as part of your presentation to a geographically scattered audience.

Here are some tips for using Skype and Zoom:

• Outline your purpose and key points so that you have them in front of you, since it’s up to you to administer and supervise the flow of the meeting.
• As presenter, decide if and at exactly what points in the presentation you want to share your desktop or slides.
• Set interaction expectations at the start, especially if you have a relatively large number of participants.  For example, ask people to write “hand” or “talk” in the chat when they want to contribute, and then include them in the order in which they asked.
• Just as with a YouTube video, consider your background environment, lighting, and sound.  Especially when using Skype or Zoom, sign in early to adjust the camera angle on the computer so that your face shows appropriately.

Low-Tech Presentation Tools

If you are presenting in person, don’t forget various standard, low-tech presentation tools such as using a whiteboard, flip charts,  or handouts.

Whiteboard and Flip Charts

Use a whiteboard and/or flip charts if you need to record ideas, or want to emphasize key points.  Make sure to write legibly, and large enough so that your audience can easily read what you write.  It’s best to use a dark ink on white, and incorporate only one-two more colors if needed for emphasis.

If you use a whiteboard or flip charts, make sure that they are incidental to and not the focus of your presentation.  You want your audience to focus on you and the message you’re conveying.

The key questions related to handouts are whether to use them, and when to hand them out.  Is your presentation relatively simple or complex?  How many key points do you think your audience will retain on their own?  Ask and answer those questions to determine if you want to use handouts.

When considering when to provide a handout, you run the risk of your audience reading and not listening to/focusing on your presentation, and you invite distraction noise caused by audience members rifling through your handout, if you hand information out before or at the start of your presentation.  If you hand out information at the end, you run the risk of not getting that information to all audience members, you invite some disruption by having audience members stand up to take photos of your slides with their phones during your presentation, and you lose the chance to explain concepts more fully by referring them to a certain page on your handout. Determine what type of information your audience needs and when they need it in order to decide whether and when to provide handouts.

The latest presentation apps have made it easier than ever to format slides and create professional-looking slideshows without giving off a "this is a template" vibe. Even standard PowerPoint alternatives have updated key features to make it easier than ever to collaborate and create presentations quickly, so you can spend more time prepping for your actual presentation.

If, like me, you've been using Google Slides unquestioningly for years, it's a whole new world out there. The newest crop of online presentation tools go way beyond the classic slideshow experience, with new features to keep your audience's attention, streamline the creation process with AI, and turn slide decks into videos and interactive conversations.

I've been testing these apps for the past few years, and this time, I spent several days tinkering with the top presentation software solutions out there to bring you the best of the best.

What makes the best presentation app?

How we evaluate and test apps.

Our best apps roundups are written by humans who've spent much of their careers using, testing, and writing about software. Unless explicitly stated, we spend dozens of hours researching and testing apps, using each app as it's intended to be used and evaluating it against the criteria we set for the category. We're never paid for placement in our articles from any app or for links to any site—we value the trust readers put in us to offer authentic evaluations of the categories and apps we review. When looking for the best presentation apps, I wanted utility players. After all, slideshows are used for just about everything, from pitch decks and product launches to class lectures and church sermons. With that in mind, here's what I was looking for:

Pre-built templates. The best presentation tools should have attractive, professional-looking templates to build presentations in a hurry.

Sharing and collaboration options. Whether you plan to share your webinar slides later, or you just want to collaborate with a coworker on a presentation, it should be easy to share files and collaborate in real-time.

Flexibility and customization options. Templates are great, but top presentation apps should enable you to customize just about everything—giving you the flexibility to build exactly what you need.

Affordability. Creating compelling presentations is important, but you shouldn't have to bust your budget to make it happen. With capable free tools on the market, affordability is a top consideration.

Standalone functionality. There's no reason to use multiple tools when one can do it all, so I didn't test any apps that require and work on top of another presentation app like PowerPoint or Google Slides.

Familiar, deck-based UI. For our purposes here, I only tested software that uses slides, with the familiar deck-based editor you expect from a "presentation" tool (versus, for example, a video creation app).

While many apps now offer AI features in one way or another, I found many of these features to be lacking still—they're often slow, struggle to pull in relevant imagery, and yield wildly inconsistent designs. For that reason, I opted not to make AI features a strict requirement (for now!), and I've still included apps that don't offer AI. (Of course, if you opt for one of those, you can still easily get AI-generated images from a separate tool and copy them into your presentation app of choice.)

Beyond that, I also looked for presentation apps that brought something unique to the table—features above and beyond what you can get for free from a legacy solution like PowerPoint or Google Slides. (And I opted not to test any brand new apps that are still in beta, since there are so many established options out there.)

Here's what my testing workflow looked like:

I went through any onboarding or guided tutorials.

I created a new deck, scanning through all available templates, noting how well-designed they were (and which were free versus paid).

I added new slides, deleted slides, edited text and images, and played around with other content types.

I changed presentation design settings, like color schemes and background images.

I reviewed and tested the sharing and collaboration options.

I tested out presenter view (when available).

After my first round of testing, I went back into the top performers to test any unique or niche features like AI, brand settings, interactive content, and more. With that, these are the best presentation apps I found—each one really brings something different or radically easy to the table.

The Magic Design AI tool is still inconsistent and not super impressive

Canva offers one of the most robust free plans of all the presentation apps I tested. The app delays account creation until after you've created your first design, so you can get started building your presentation in seconds. Choose from an almost overwhelming number of beautiful templates (nearly all available for free), including those designed specifically for education or business use cases.

Anyone who's accidentally scrolled too far and been bumped to the next slide will appreciate Canva's editor interface, which eliminates that problem altogether with a smooth scroll that doesn't jump around. Choose from a handful of preset animations to add life to your presentations, or browse the library of audio and video files available to add. And Canva also has a number of options for sharing your presentation, including adding collaborators to your team, sharing directly to social media, and even via QR code.

Present directly from Canva, and let audience members submit their questions via Canva Live. Once you share a link to invite audience members to your presentation, they can send questions for you to answer. As the presenter, you'll see them pop up in your presenter view window, so you can keep the audience engaged and your presentation clear. Alternatively, record a presentation with a talking head bubble—you can even use an AI presenter here—to share remotely.

Canvas has added a number of AI-powered tools , but I wasn't super impressed by them yet. When I asked the Magic Design tool to generate a presentation from scratch, for example, the result was a bunch of unrelated images, inconsistent design, and surface-level copy. These features will likely improve in time, but for now, you're better off starting from one of Canva's many great templates.

The best presentation app for AI-powered design

Beautiful.ai (web, mac, windows).

Beautiful.ai pros:

Generative AI features aren't great yet

If you're like me, editing granular spacing issues is the absolute worst part of building a presentation. Beautiful.ai uses artificial intelligence to take a lot of the hassle and granular design requirements out of the presentation process, so you can focus on the content of a presentation without sacrificing professional design. If I needed to make presentations on a regular basis, this is the app I'd use.

Many apps have recently added AI design features, but Beautiful.ai has been doing it for years—and they've perfected the UX of AI design, ensuring the tool's reign as the most streamlined and user-friendly option for AI design.

The editor is a little different from most presentation apps, but it's still intuitive—and you'll start off with a quick two-minute tutorial. When creating a new slide, scroll through "inspiration slides" to find a layout you like; once you choose, the app will pull the layout and automatically adapt it to match the design of the rest of your presentation.

With 10 themes, several templated slides, over 40 fully-designed templates, and 23 different color palettes to choose from, Beautiful.ai strikes a perfect balance between automation and customization.

While Beautiful.ai doesn't offer a free plan, paid plans are reasonably priced and offer sharing and collaboration options that rival collab-focused apps like Google Slides. And speaking of Google, you can connect Beautiful.ai with Google Drive to save all your presentations there.

Note: I did test the newly released generative AI feature (called DesignerBot) and felt it wasn't much to write home about. It's great for adding individual slides to an existing presentation—automatically choosing the best layout and matching the design to the rest of the deck—but as with most other apps, it struggled to generate a quality presentation from scratch.

Beautiful.ai pricing: Plans start at $12/month for unlimited slides, AI content generation, viewer analytics, and more. Upgrade to a Team plan for $40/user/month to get extra collaboration and workspace features and custom brand controls.

If you're a founder looking for an AI presentation tool for your pitch deck, Slidebean is a great Beautiful.ai alternative for startups. The app offers a number of templates; a unique, content-first outline editor; and AI design help that you can toggle on or off for each slide. I didn't include it on the list mainly because of the price: the free plan is quite limited, and the paid all-access plan starts at $228/year.

Prezi (web, mac, windows, ios, android).

Steep learning curve

Struggling to squeeze information into a basic, linear presentation? Give Prezi a try. Unlike nearly all other presentation apps on the market, Prezi Present doesn't restrict the structure of your presentation to a straight line. The editor focuses on topics and subtopics and allows you to arrange them any way you want, so you can create a more conversational flow of information.

With the structural flexibility, you still get all the same customization features you expect from top presentation software, including fully-editable templates. There's a learning curve if you're unfamiliar with non-linear presentations, but templates offer a great jumping-off point, and Prezi's editor does a good job of making the process more approachable.

Plus, Prezi comes with two other apps: Prezi Design and Prezi Video. Prezi Video helps you take remote presentations to a new level. You can record a video where the presentation elements are displayed right over your webcam feed. Record and save the video to share later, or connect with your video conferencing tool of choice (including Zoom, Microsoft Teams, and Google Meet) to present live.

Prezi pricing: Free 14-day trial and a free plan that includes up to 5 visual projects; paid plans start at $5/month and include additional features like private presentations and Prezi Present.

The best presentation app for video presentations

Powtoon (web, ios, android).

Powtoon pros:

Powtoon makes it easy to create engaging videos by orienting the editor around a slide deck. Editing a Powtoon feels just like editing a presentation, but by the time you finish, you have a professional video. 

You can edit your slides at any time, and when you hit play, a video plays through your deck—the feel is almost like an animated explainer video. Each slide includes the animations you choose and takes up as much time as is needed based on the content on the slide. Powtoon figures the timing automatically, and you can see in the bottom-right of the editor how much time is used on your current slide versus the total presentation. If you ever want to present as a slide deck, just toggle between Slideshow and Movie.

You'll likely need to subscribe to a paid plan to get the most out of Powtoon—like creating videos longer than three minutes, downloading them as MP4 files, and white-labeling your presentations—but doing so won't break the bank. Plus, you'll unlock tons of templates complete with animations and soundtracks.

One of my favorite Powtoon features is the ability to orient your video: you can choose horizontal orientation (like a normal presentation) or opt for vertical (for mobile) or square (for social media). When your presentation is ready, you can publish straight to YouTube, Wistia, Facebook Ads, and any number of other locations.

The best presentation app for interactive presentations

While many presentation apps are built for presenter-led decks, Genially 's interactive features and animated templates make it easy to build a self-led presentation. A variety of interactive buttons allow you to show viewers additional context on hover, have them skip to any page of your deck, and let them navigate to external links.

This presentation program offers a bunch of searchable templates, including some for business proposals, reports, social media presentations, and more (though most of those are available on premium plans only). Genially also includes Smart blocks —templated blocks of content for elements like data visualizations and image galleries.

My favorite feature is the brand settings. Premium users can set universal branding guidelines that include your logo, color scheme, fonts, images, and backgrounds, among other options. Think of them like a custom template, created and customized by you, that the whole team can use. Once set, your team can easily create on-brand presentations that automatically apply your brand settings, without even thinking about it.

Plus, Genially supports additional content like training materials, infographics, and interactive images—all subject to your brand presets.

The best presentation app for collaborating with your team

User interface is a little different than you're used to

Need to collaborate on presentations with your team? Pitch is a Google Slides alternative that gets the job done. As far as decks go, Pitch includes all the beautifully-designed templates, customizability, and ease of use you expect from a top-notch presentation tool. But the app really shines when you add your team.

The right-hand sidebar is all about project management and collaboration: you can set and update the status of your deck, assign entire presentations or individual slides to team members, plus comment, react, or add notes. Save custom templates to make future presentations even easier and faster.

You can also invite collaborators from outside your company to work with you on individual decks. And if you opt for a paid plan, Pitch introduces workspace roles, shared private folders, and version history.

The "Go live" feature is a personal favorite—with just a click on the camera icon in the top-right, you can start a live video call. Any team members who open the presentation can hop in and collaborate in real-time.

The best simple presentation app

Zoho Show pros:

Simple and easy to use

Zoho Show cons:

Templates are pretty basic

If you're looking for a simple, yet capable presentation app that's a step up from Google Slides, Zoho Show is a great option. It's completely free to use, offers a clean, intuitive editor, and includes a number of great templates.

While the handful of "Themes" offered are on the basic side, Zoho templates boast a more modern and professional design than much of what Google Slides or PowerPoint offer. And I love that you can set the font and color scheme for the whole template, right from the start.

The app doesn't skimp on collaboration or shareability either. You can invite collaborators via email or shareable link, and comments and version history make it easy to work together on presentations. Once you're ready to share, you can even broadcast your presentation to a remote audience right from within Zoho. Plus, you can one-click lock slides to prevent any more editing or hide individual slides to customize your presentation for different audiences.

You can even connect Zoho Show to Zapier , so you can do things like automatically create a presentation when something happens in one of the other apps you use most.

The best presentation app for generative AI

Gamma (web).

Gamma pros:

Creates fully fleshed-out presentations from a prompt

Chatbot-like experience

Can still manually edit the presentation

Gamma cons:

Not as much granular customization

I tested a lot of apps claiming to use AI to up your presentation game, and Gamma 's generative features were head and shoulders above the crowd.

Simply give the app a topic—or upload an outline, notes, or any other document or article—approve the outline, and pick a theme. The app will take it from there and create a fully fleshed-out presentation. It's far from perfect, but Gamma produced the most useful jumping-off point of all the AI presentation apps I tested. 

Here's the key: Gamma is much more geared toward the iterative, chatbot experience familiar to ChatGPT users. Click on the Edit with AI button at the top of the right-hand menu to open the chat, and you'll see suggested prompts—or you can type in your own requests for how Gamma should alter the presentation.

Once you've done all you can with prompts, simply close the chat box to manually add the finishing touches. While you do sacrifice some granular customizability in exchange for the AI features, you can still choose your visual theme, change slide layouts, format text, and add any images, videos, or even app and web content.

What about the old standbys?

You might notice a few major presentation players aren't on this list, including OGs Microsoft PowerPoint, Apple Keynote, and Google Slides. These apps are perfectly adequate for creating basic presentations, and they're free if you have a Windows or Mac device or a Google account.

I didn't include them on the list because the presentation space has really developed in the last several years, and after testing them out, I found these behemoths haven't kept pace. If they weren't made by Microsoft/Apple/Google, I might not even be mentioning them. They're pretty basic tools, they're behind the curve when it comes to templates (both quantity and design), and they don't offer any uniquely valuable features like robust team collaboration, branding controls, video, and so on.

Some of these companies (think: Microsoft and Google) are openly working on some pretty impressive-sounding AI features, but they haven't been widely released to the public yet. Rest assured, I'm watching this space, and the next time we update this article, I'll retest tools like PowerPoint and Google Slides to see what new features are available.

In any case, if you're reading this, you're probably looking for an alternative that allows you to move away from one of the big 3, and as the presentation platforms featured above show, there's a ton to gain—in terms of features, usability, and more—when you do.

For most people, Microsoft 's PowerPoint remains the original and best of all the presentation software platforms out there. While other companies have managed to catch up and offer rival products worthy of consideration, the fact is that PowerPoint's familiar interface and ubiquitous availability means it remains a favorite for the majority of people.

On the one hand, it's long been a staple of the hugely popular Microsoft Office suite, meaning that for most users this is going to be the first - and last - presentation software they are going to need to use.

Additionally, Microsoft has made PowerPoint, along with their other office products, available as free apps (with limited functionality) on both iOS and Android for mobile use, meaning it's even harder to avoid them. And this is before we even consider the inclusion of PowerPoint in Microsoft's cloud-based Microsoft 365.

It does everything necessary that you'd expect of presentation software, allowing you to add text and media to a series of slides, to accompany a talk and other presentations. There are easy-to-use templates included to help spice things up a little, but even a general user with little experience of it is likely to find themselves able to use PowerPoint without much trouble at all.

Overall, it's hard to go wrong with PowerPoint, and although Microsoft 365 has a nominal cost, the apps are free to use even if they do have more limited functionality.

Other presentation software to consider

Google Slides  is part of the Google Workspace (formerly G Suite) office platform intended as an online alternative to Microsoft Office. It may seem a little limited by comparison to PowerPoint, but as it's browser-based that means cross-platform compatibility. Additionally, it allows for collaborative work, and Google Slides really works well here. On top of the fact that it integrates with the rest of the Google Workspace apps, not least Google Drive, and you have a contender. 

Zoho Show  is another of the many, many tools and apps that Zoho has made available for business use. It also operates in the cloud so it's accessible to any device with a browser, and it also allows for collaborative work. You can also easily share the link for users to download, or provide a live presentation online. The updated version has a simpler and easier to use interface and comes with a free version and a paid-for one with expanded features.

Evernote  is normally thought of as just note-taking software, but it does provide the option to create a presentation you can share online or with an audience. In that regard, it's a little more limited than the other options in not being dedicated presentation software. However, as an easy and handy way to pull together a presentation quickly, it could serve as a backup or last-minute option, especially if Evernote is already being commonly used by you.

LibreOffice Impress  is part of the open-source suite offered as a free alternative to Microsoft Office, and comes with a powerful array of tools and editing options for your presentation, not least working with 3D images. It's supported by a large community, so it's easy to find an array of additional templates. If there is a limitation it's that it's software you download and install rather than web-based, but any presentations created should be easily portable to the web if needed.

Adobe Spark  does things a bit differently, as rather than just use images it's geared toward video as well. This makes for potentially more powerful multimedia presentations, especially as Adobe also has a big selection of photos and images available for its users. There is a free tier for core features but requires a subscription for custom branding, personalized themes, and support.

Slides  comes with a lot of features in an easy-to-use interface, and involves setting up presentations using drag and drop into an existing grid. It's also internet-based so there's no software to download, and it only requires a browser to use and access.

It is quite easy to get experimental when presented with a vast range of options, and you might end up drowning a slide with too many results, animations, and font customisations. This dilutes the primary purpose of your presentation – to grab the audience’s attention and help them understand your topic.
• Cramming – Likewise, when you can make everything tiny, you might experience the temptation to pack your slides with information . But far from filling your audience with more information, it becomes much more difficult for them to take anything meaningful away. Not just that; content-heavy slides also sap your audience’s attention, which eventually makes it harder to get them to look at your slides in the first place. Rehearse your slide show with Speaker Coach

On the Slide Show tab, select Rehearse with Coach . (If you've turned off the Simplified Ribbon, you don't have a Slide Show tab; instead use the View tab to start Speaker Coach.)

The presentation opens in a full-screen view, similar to Slide Show.

Select Get Started at the lower right when you are ready to begin rehearsing.

As you speak, Coach gives on-screen guidance (in the lower-right corner of the window) about pacing, inclusive language, use of profanity, filler words, and whether you're reading the slide text.

When you're through, exit the full-screen view. Coach opens a Rehearsal Report that summarizes what it observed and offers recommendations .

Open your presentation in PowerPoint for Android.

Select Rehearse with Coach . The presentation opens in a full-screen view, similar to Slide Show.

Select Start Rehearsing in the dialog box when you are ready to begin rehearsing.

When you're through, exit the full-screen view. Coach opens a Rehearsal Report that summarizes what it observed, and offers recommendations .

Open your presentation in PowerPoint for Windows desktop.

After you review your Rehearsal Report, close the window or select Rehearse Again to practice the recommendations you've received.

Open your presentation in PowerPoint for iOS.

Tap the More menu, and then tap Rehearse with Coach . The presentation opens in a full-screen view, similar to Slide Show.

When you're ready to begin, tap Start Rehearsing .

After you review your Rehearsal Report, close the window or tap Rehearse Again to practice the recommendations you've received.

Open your presentation in PowerPoint for MacOS desktop.

Select Start Rehearsing in the dialog box when you are ready to begin rehearsing. To receive on-screen guidance, check that Show real-time feedback is selected.

Tips for using Speaker Coach

Sign in with a Microsoft account (hotmail.com, outlook.com, live.com, msn.com) or a Microsoft 365 work or school account. You can view and edit a presentation for free in a web browser by saving the file to OneDrive and using PowerPoint for the web to open it.

You need a microphone in your computer that can hear your speech and an internet connection.

We recommend that you rehearse in a quiet place with a microphone.

After you close the rehearsal report, it disappears. If you want to save a copy of it, you must take a screenshot.

Other things to remember

Currently, Speaker Coach only understands English, and it's only available when your Office user interface language is English. See Change the language Office uses for help with the Office user interface language setting.

Coach works best with one speaker rehearsing. It may not work well if more than one person is rehearsing at a time.

Coach will continue to learn as folks like you use it, and it will add more kinds of suggestions in the future.

Unlike the Rehearse Timings feature, Speaker Coach doesn't add timings to your slides. Speaker Coach is for practicing and feedback. It doesn't prepare a slide show to be run automatically.

Presentation recommendations

To relax and slow yourself down when you're nervous, take a deep breath.

Pause if you need a moment to gather your thoughts. Quiet moments don't adversely affect your presentation.

Speaker Coach gives you a gentle nudge by suggesting specific replacement terms for certain words. You make the final decision about what words to use in your presentation.

It's all right to repeat shorter bits of text from a slide, such as a title or bullet point, just try not to read the entire slide.

Speak naturally and vary the pitch of your voice to keep the audience more engaged and focused on your key points.

How to convert a powerpoint to google slides.

Work with a familiar interface by converting a PowerPoint to Google Slides

Microsoft PowerPoint and Google Slides are popular software solutions for creating presentations. While PowerPoint has more features, Google Slides offers seamless collaboration, cross-platform availability, and an easy-to-use interface without a subscription. When you receive a PowerPoint presentation, convert it to Google Slides to continue editing and collaborating on it.

Converting a PowerPoint presentation to the Google Slides format has advantages, but it isn't a smooth process. Formatting issues can occur. You can use Google Drive or Google Slides to convert a PowerPoint presentation. This trick is also helpful when using a PowerPoint template with Google Slides.

Although Google Slides has apps for iPhone and Android , we focus on the company's web version.

Convert a PowerPoint to Google Slides Using Google Drive

You can upload a PowerPoint presentation to Google Drive and open it in Slides. It's the easiest way to convert from PowerPoint to Google Slides.

• Visit Google Drive on the web and sign in with your Google account details.
• After uploading the file, Google Drive converts your PowerPoint file, making it compatible with Google Slides. Double-click it to open it in Google Slides.

Whether you use a .pptx or an older .ppt file, Google Drive automatically converts it to Slides. You can open it like a traditional Slides file and make changes.

How to add audio to your Google Slides presentation

If you don't want to deal with Google Drive, you can import and use any PowerPoint file using Google Slides. Follow the steps below to make changes.

• Go to Google Slides on the web and create a blank presentation. Or, type slides.new in the address bar and press the Enter or Return key.
• The following menu shows your recent files and several online and offline locations where you can import a file. Move to the Upload menu.
• Google Slides converts and opens a PPT file in the Slides format.

There are times when you want to convert specific PowerPoint slides. Importing an entire presentation and deleting irrelevant slides isn't the most productive way. Instead, import selected slides using the steps below.

• Open a blank presentation in Google Slides (check the steps above).

Your PowerPoint slides are ready for editing in Google Slides.

Advantages of Converting a PowerPoint to Google Slides

Here are the benefits of converting a PowerPoint file to Google Slides.

Easy access

Google Slides is a web app. Whether you use Slides on Windows, Mac, Linux, or ChromeOS, you only need a web browser to access and edit your presentations. PowerPoint also has a web app, but it has limited features compared to its desktop app.

Real-time collaboration

Although Microsoft offers real-time collaboration on PowerPoint, the sharing experience isn't as good as Google Slides. One or more users can work on a presentation simultaneously, share comments, and check tweaks instantly.

Free to use

PowerPoint desktop apps require an active Microsoft 365 subscription. In contrast, Google Slides is free to use. If one of your team members or a colleague doesn't have a Microsoft 365 plan, convert the PowerPoint presentation to Google Slides and invite them for collaboration.

How To Get Free Access To Microsoft PowerPoint

E very time you need to present an overview of a plan or a report to a whole room of people, chances are you turn to Microsoft PowerPoint. And who doesn't? It's popular for its wide array of features that make creating effective presentations a walk in the park. PowerPoint comes with a host of keyboard shortcuts for easy navigation, subtitles and video recordings for your audience's benefit, and a variety of transitions, animations, and designs for better engagement.

But with these nifty features comes a hefty price tag. At the moment, the personal plan — which includes other Office apps — is at $69.99 a year. This might be the most budget-friendly option, especially if you plan to use the other Microsoft Office apps, too. Unfortunately, you can't buy PowerPoint alone, but there are a few workarounds you can use to get access to PowerPoint at no cost to you at all.

Method #1: Sign Up For A Free Microsoft Account On The Office Website

Microsoft offers a web-based version of PowerPoint completely free of charge to all users. Here's how you can access it:

• Visit the Microsoft 365 page .
• If you already have a free account with Microsoft, click Sign in. Otherwise, press "Sign up for the free version of Microsoft 365" to create a new account at no cost.
• On the Office home page, select PowerPoint from the side panel on the left.
• Click on "Blank presentation" to create your presentation from scratch, or pick your preferred free PowerPoint template from the options at the top (there's also a host of editable templates you can find on the Microsoft 365 Create site ).
• Create your presentation as normal. Your edits will be saved automatically to your Microsoft OneDrive as long as you're connected to the internet.

It's important to keep in mind, though, that while you're free to use this web version of PowerPoint to create your slides and edit templates, there are certain features it doesn't have that you can find on the paid version. For instance, you can access only a handful of font styles and stock elements like images, videos, icons, and stickers. Designer is also available for use on up to three presentations per month only (it's unlimited for premium subscribers). When presenting, you won't find the Present Live and Always Use Subtitles options present in the paid plans. The biggest caveat of the free version is that it won't get any newly released features, unlike its premium counterparts.

Method #2: Install Microsoft 365 (Office) To Your Windows

Don't fancy working on your presentation in a browser? If you have a Windows computer with the Office 365 apps pre-installed or downloaded from a previous Office 365 trial, you can use the Microsoft 365 (Office) app instead. Unlike the individual Microsoft apps that you need to buy from the Microsoft Store, this one is free to download and use. Here's how to get free PowerPoint on the Microsoft 365 (Office) app:

• Search for Microsoft 365 (Office) on the Microsoft Store app.
• Install and open it.
• Sign in with your Microsoft account. Alternatively, press "Create free account" if you don't have one yet.
• Click on Create on the left side panel.
• Select Presentation.
• In the PowerPoint window that opens, log in using your account.
• Press Accept on the "Free 5-day pass" section. This lets you use PowerPoint (and Word and Excel) for five days — free of charge and without having to input any payment information.
• Create your presentation as usual. As you're using the desktop version, you can access the full features of PowerPoint, including the ability to present in Teams, export the presentation as a video file, translate the slides' content to a different language, and even work offline.

The only downside of this method is the time limit. Once the five days are up, you can no longer open the PowerPoint desktop app. However, all your files will still be accessible to you. If you saved them to OneDrive, you can continue editing them on the web app. If you saved them to your computer, you can upload them to OneDrive and edit them from there.

Method #3: Download The Microsoft PowerPoint App On Your Android Or iOS Device

If you're always on the move and need the flexibility of creating and editing presentations on your Android or iOS device, you'll be glad to know that PowerPoint is free and available for offline use on your mobile phones. But — of course, there's a but — you can only access the free version if your device is under 10.1 inches. Anything bigger than that requires a premium subscription. If your phone fits the bill, then follow these steps to get free PowerPoint on your device:

• Install Microsoft PowerPoint from the App Store or Google Play Store .
• Log in using your existing Microsoft email or enter a new email address to create one if you don't already have an account.
• On the "Get Microsoft 365 Personal Plan" screen, press Skip For Now.
• If you're offered a free trial, select Try later (or enjoy the free 30-day trial if you're interested).
• To make a new presentation, tap the plus sign in the upper right corner.
• Change the "Create in" option from OneDrive - Personal to a folder on your device. This allows you to save the presentation to your local storage and make offline edits.
• Press "Set as default" to set your local folder as the default file storage location.
• Choose your template from the selection or use a blank presentation.
• Edit your presentation as needed.

Do note that PowerPoint mobile comes with some restrictions. There's no option to insert stock elements, change the slide size to a custom size, use the Designer feature, or display the presentation in Immersive Reader mode. However, you can use font styles considered premium on the web app.

Method #4: Use Your School Email Address

Office 365 Education is free for students and teachers, provided they have an email address from an eligible school. To check for your eligibility, here's what you need to do:

• Go to the Office 365 Education page .
• Type in your school email address in the empty text field.
• Press "Get Started."
• On the next screen, verify your eligibility. If you're eligible, you'll be asked to select whether you're a student or a teacher. If your school isn't recognized, however, you'll get a message telling you so.
• For those who are eligible, proceed with creating your Office 365 Education account. Make sure your school email can receive external mail, as Microsoft will send you a verification code for your account.
• Once you're done filling out the form, press "Start." This will open your Office 365 account page.

You can then start making your PowerPoint presentation using the web app. If your school's plan supports it, you can also install the Office 365 apps to your computer by clicking the "Install Office" button on your Office 365 account page and running the downloaded installation file. What sets the Office 365 Education account apart from the regular free account is that you have unlimited personal cloud storage and access to other Office apps like Word, Excel, and Outlook.

Can t create presentation from file in PowerPoint with Copilot

I have a M365 family membership and a Copilot Pro subscription. I cant find the option to create a ppt presentation from a file.

Microsoft's documentation on this stuff is horrible, unfortunately.

What they don't make clear is that you can only make PowerPoint presentations from Word files if you have an enterprise version of Office and have paid $30/month per license for CoPilot.

The feature isn't available for CoPilot Pro.
