Microsoft PowerPoint presentations are great, but they are not as easily accessible as videos. Luckily, you can convert your presentations to videos with a built-in option. We'll show you how.

There are many reasons to turn a presentation into a video. Maybe you want to send someone a presentation but they don't have PowerPoint installed. Or, maybe you want to upload your presentation to a site that only accepts videos.

PowerPoint has a built-in option to convert presentations to videos. When you perform this conversion, all your original animations, transitions, and media items are preserved. Your resulting video also includes all recorded timings , narrations , ink strokes, and laser pointer gestures (though you can choose not to include these if you want).

To turn a PowerPoint presentation into a video, first, open your presentation with the PowerPoint app on your Windows or Mac computer.

In the top-left corner of PowerPoint, click the "File" option.

From the sidebar that opens after clicking the "File" option, select "Export."

In the "Export" menu, click "Create a Video."

To the right of the "Export" menu, you will now see a "Create a Video" section. In this section, you will define the options for your video file.

First, choose the quality for your video by clicking the "Full HD" option.

You will see multiple video quality options. Select the one that you think works the best for you. Know that the higher the quality you select, the larger the file size of your video will be.

To include the recorded timings and narrations in your video, then beneath the video quality menu, click the "Don't Use Recorded Timings and Narrations" option.

Select the "Use Recorded Timings and Narrations" option. If this option is grayed out, that's because you don't have any recorded timings or narrations in your presentation.

You will now specify how long each slide appears in the video. Click the "Seconds Spent on Each Slide" box and enter the duration in seconds. By default, this duration is set to 5 seconds.

Finally, at the bottom of the "Create a Video" section, click "Create Video" to start making your video.

Your computer's standard "save" window will open. Here, select the folder to save your video in, type a name for your video, and click "Save."

Format a video in your PowerPoint for Mac presentation

In PowerPoint 2016 for Mac and newer versions, once you've added a video to your presentation, you can add basic effects, trim the video, and choose how the video is played.

Choose how your video is played

Select the video you want to format.

Click the Video Format tab on the ribbon.

Click the Start button on the Playback tab to choose when a video plays during a slide show. (The options are described below.)

Add video effects

If you want to give your video some extra style or formatting, you can do so with Video Effects .

On the Video Format tab, click Video Effects .

You can choose any number of effects to give your video more emphasis—Shadow, Reflection, Glow, Soft Edges, Bevel, or 3-D Rotation.

Trim the video

You might want to remove parts of a video that are not pertinent to the message of your presentation. Use the Trim Video feature to trim away the beginning and/or end of your video clip.

Important:  You can only trim videos that you've embedded from your computer. The Trim option is not available for videos inserted from the web.

In Normal or Outline view, select the video frame on the slide.

On the Playback tab of the ribbon, click Trim Video .

To determine where you want to trim your sound clip, click Play .

When you reach the point where you want to make the cut, click Pause .

You can use Next Frame and Previous Frame (adjoining the Play button) to fine-tune the location where you set a marker.

Do one or both of the following:

To trim the beginning of the clip, click the green Set button on the left-hand side.

To trim the end of the clip, click the red Set button on the right-hand side.

Apple uses a unique method to stream and present immersive video

A fisheye lens on an iPhone

Headsets providing VR and AR experiences often offer immersive video to users as well. This can take the form of Spatial Video, providing a 3D effect, but also 360-degree video that favors surrounding the viewer with content.

Apple has also released immersive video clips , namely 180-degree 3D video at high resolutions, though it is relatively slow to grow its content library at present.

To produce those videos, cameras with fisheye lenses are often used to produce an extremely wide angle shot, with multiple videos combined to make a single video.

The Apple Vision Pro does, naturally, have the capability to view fisheye content. However, while it is used to stream Apple TV+ videos, the format is largely undocumented and is unused by third parties.

In research by Mike Swanson published on Sunday, Apple's immersive video projection for users takes a different approach from more conventional fisheye formatting.

Differing distortions

Translating an image from a 2D video into a hemispherical or spherical projection map that's viewable from the user at the center isn't easy, but it is something that has practically been solved thanks to distortion.

A typical 180-degree out-of-camera fisheye shot that encompasses everything within the frame will appear as a circle, with black sections in the corners and edges of the circle referencing areas with no visual data available.

By segmenting the video up in a specific way, it can be stretched to fit a 180-degree field of view of the user, both horizontally and vertically within a virtual sphere. This is the simplest way of accomplishing a projection, but it isn't data-efficient due to the corner sections being part of the encoded video, but not actually being used in the final image.

An alternative that eliminates the black sections exists, in the form of an 180-degree equirectangular projection. Created via editing, it warps the image to fill the entire rectangular frame.

When distorted for viewing, this means more pixels are used for the edges of the projection map, meaning more detail for users to actually see.

To create stereoscopic video for each, or a 360-degree video, each 180-degree field of view is often squished into half the available space, allowing both sides to be included within the same frame.

For this scenario, which makes it harder to preserve details in each 180-degree view, warping out the image to the corners to eliminate wasted pixels makes sense.

Reality distortion effects

Swanson had trouble initially determining what Apple changed in its fisheye projection treatment, but did pull up some details about what was performed from monitoring the network traffic of his Apple Vision Pro.

From monitoring alone, he discovered streams were approximatly 50Mbps, encoded in HDR10, at a resolution of 4,320 by 4,320 per eye, at 90fps. However, since immersive videos were DRM-protected, Swanson couldn't view the raw fisheye frames without breaking it.

He was then alerted to the Apple TV+ intro clip of the logo using the same fisheye encoding, but without DRM. This allowed further analysis of Apple's fisheye format.

For a start, rather than using a single video frame to handle two eyes or front and back 180-degree projections, Apple instead encodes stereo video using MV-HEVC. In effect, each 180-degree projection is stored in a separate video layer within the video file.

More unusually, Apple encodes its fisheye content at a 45-degree rotation. The base of the "sphere" is located at the bottom left corner of the frame, with the top point at the opposite corner.

Swanson says this change makes sense, with one good reason being that the diagonal is the longest dimension of the frame and therefore can store more horizontal post-rotation pixels than an unrotated version.

To viewers, the advantage is that the horizon line will have the most pixels available. Since this is where most people will be looking while watching a video, preserving detail in this section is crucial to the viewing experience.

The areas with the fewest pixels to work with in a projection shifts from the middle of the top, bottom, and sides of a normal fisheye to the "corner" sections, which are feasibly less viewed.

Still some mysteries

Despite the additional information, Swanson hasn't cracked Apple's entire process, with some elements still eluding him.

One of these centers around a technique called Radial Stretching, where each degree of an image is stretched to the edge of a square frame, maximizing the usage of the entire frame for the image.

While Swanson has gotten close when processing a raw Apple fisheye frame, it's "not 100% correct." It is proposed that there are some additional logic elements at play along the diagonals to reduce the amount of radial stretching and distortion required, with Swanson's best guess being the use of simple beveled corners.

It's also offered that Apple could potentially be encoding to a specific geometry to add unnecessary complexity, making it harder for others to use the same format.

Swanson is still left with questions about why Apple uses this type of projection format. While Apple may find there are more benefits to doing so, they are still a mystery.

Encoding video for the Apple Vision Pro is just one of the challenges filmmakers face. In March, Canon executives explained that none of its cameras are capable of producing video at the resolution and refresh rate the headset requires.

If Apple is going to expand on how it treats video in the format, it may do so during WWDC 2024 in June .

Take screenshots or screen recordings on Mac

You can take pictures (called screenshots ) or recordings of the screen on your Mac using Screenshot or keyboard shortcuts. Screenshot provides a panel of tools that let you easily take screenshots and screen recordings, with options to control what you capture—for example, you can set a timer delay or include the pointer or clicks.

On your Mac, press Shift-Command-5 (or use Launchpad ) to open Screenshot and display the tools.

Click a tool to use to select what you want to capture or record (or use the Touch Bar ).

For a portion of the screen, drag the frame to reposition it or drag its edges to adjust the size of the area you want to capture or record.

Click Options if you want.

The available options vary based on whether you’re taking a screenshot or a screen recording. For example, you can choose to set a timed delay or show the mouse pointer or clicks, and specify where to save the file.

The Show Floating Thumbnail option helps you work more easily with a completed shot or recording—it floats in the bottom-right corner of the screen for a few seconds so you have time to drag it into a document, mark it up, or share it before it’s saved to the location you specified.

Start the screenshot or screen recording:

For the entire screen or a portion of it: Click Capture.

For a window: Move the pointer to the window, then click the window.

When the Show Floating Thumbnail option is set, you can do any of the following while the thumbnail is briefly displayed in the bottom-right corner of the screen:

Swipe right to immediately save the file and make it disappear.

Drag the thumbnail into a document, an email, a note, or a Finder window.

Click the thumbnail to open a window where you can mark up the screenshot or trim the recording , or share it.

Depending on where you chose to save the screenshot or recording, an app may open.

Take pictures using keyboard shortcuts

You can use various keyboard shortcuts on your Mac to take pictures of the screen. The files are saved to the desktop.

Tip: To copy a screenshot so you can paste it somewhere—like in an email or to another device —press and hold the Control key while you press the other keys. For example, to copy the whole screen, press Shift-Command-Control-3.

Screenshots are saved as .png files and screen recordings are saved as .mov files. Filenames begin with “Screenshot” or “Screen Recording” and include the date and time.
