After hours of piecing together the perfect presentation, disaster happens the next morning as you go present it: It’s gone. No matter how frantically you search File Explorer, your precious PowePoint presentation is gone. Microsoft, though, has your back. As long as you haven’t disabled autorecovery, the file should still be on your machine -- or in the cloud, if you’re an Office365 user. It’s not foolproof, but you can often recover these accidentally deleted files.

Next time, however, you might want to save a redundant copy to the cloud, just in case.

1. Open a blank Microsoft PowerPoint document and click the File tab .

It’s not uncommon to lose hours of work in PowerPoint because of an unexpected system crash, shutdown, or power failure. Microsoft knows that, which is why the program comes with AutoRecover. It’s a feature that helps you retrieve unsaved PowerPoint presentations.

This tutorial will teach you how to use Microsoft PowerPoint’s AutoRecover feature in Windows and macOS, including other tips to recover lost or deleted PowerPoint presentations.

Recover Unsaved PowerPoint Presentations on Windows

Whenever you work on a presentation in Microsoft PowerPoint for Windows 10 and 11, the program’s built-in AutoRecover functionality makes periodic backups to a temporary file once every 10 minutes.

If you forgot to save a Microsoft PowerPoint document because of an unexpected issue, you can get it back. There’s no guarantee it may contain the most recent changes, though.

By default, AutoRecover opens the unsaved presentation when you relaunch PowerPoint after a system or application crash. If you see a Recovered Unsaved File banner, select the Save button inside to save it permanently.

In Microsoft Office 2021 and earlier versions of PowerPoint, a Document Recovery pane should show up to the left of the PowerPoint window, letting you pick the file you want to recover.

To increase the frequency with which AutoRecover backs up your PowerPoint presentations and improve the chances of retrieving the most recent unsaved changes, you must:

  • Select the File tab and choose Options (or More > Options ).

Just re-open PowerPoint. AutoRecover should automatically re-open the presentation you were last working on, allowing you to save the changes permanently.

Suppose that doesn’t happen. Just:

  • Open the Home button and choose Open .
  • Select Recover Unsaved Presentations .
  • Double-click the PPTX file you want to recover.

If the Recover Unsaved Presentations button is not visible, manually visit PowerPoint’s AutoRecover temp folder and retrieve the presentation via Finder.

  • Open Finder and select Go > Go to Folder on the menu bar.

Use Windows Search or Spotlight

Your PC or Mac keeps an index of whatever’s in its internal storage. If you can remember the file name of a lost presentation (or even part of it), try searching for it through Windows Search or Spotlight Search.

Check the Recycle Bin or Trash

Windows and macOS store deleted items for 30 days, so check the Recycle Bin or Trash if you can’t find a presentation. If the PPTX file is inside, you can restore it to its original location.

Use File History or Time Machine

  • Open a PowerPoint presentation.
  • Click a slide you want to delete, or hold Ctrl to select multiple slides.
  • Right-click the slides.
  • Click Delete Slide .

There are two ways you can delete a slide:

  • Use the Delete Slide function
  • Cut the slide to the clipboard

Step #2: Change to Normal View

Click on the View tab on the top menu bar to change the ribbon.

Creating a new slide might not be always the best option for you. You might want to keep a certain clipped image or part of a text from a previous slide in a new one. In this case, it’s best if you duplicate a slide.

To  duplicate a slide , select it, right-click on it and choose Duplicate Slide.

What are Embedded Fonts in PowerPoint?

Have you ever been in a situation when you used a custom fonts on your PowerPoint presentation, and the moment you sent it to your colleague, the fonts completely changed! You no longer had the same look and feel as the presentation that you had created.

Embedding fonts in PowerPoint can solve this problem for you. With this feature, you will no longer have to worry about your presentations appearing as gibberish on your colleague’s computer or your office computers. You won’t have to be embarrassed during a slide presentation to your students or coworkers.

So, what are embedded fonts in PowerPoint? Embedded fonts in PowerPoint allow you to share your presentation with custom fonts without having the need to install these custom fonts on the recipient’s computer. This feature allows you to attach specific fonts with a PowerPoint presentation so your presentation always looks the same!

If you are not using the “Embed fonts in PowerPoint” feature, you will need to install custom fonts on the recipient’s computer as well. Without that, either the presentation will not be readable or PowerPoint will change the overall look and feel of your presentation by using alternative fonts for the presentation.

This is a problem because if you are sharing your presentation with five of your colleagues, all of them have to install the font. With the embed font option, you can attach the font file to the PowerPoint file. So, whoever opens your file won’t have to separately install the fonts on his device. The file opens and the fonts appear perfectly.

How to Remove Embedded Fonts in PowerPoint?

While embedding fonts in PowerPoint is great, it can quite easily increase the size of your presentation file.

If you have received a PowerPoint presentation that contains embedded fonts, then you might need to perhaps need to remove embedded fonts from the files in order to reduce the file size.

The process is actually quite simple. In the later part of the article, I will also share with you how to embed the fonts back into the presentation just in case you feel the need to reinstate it back!

It may be because a certain presentation program or conference demands a specific font. Or maybe the file comes from a colleague whose font choice you don’t like much.

Or maybe you might have a change of heart about your design. Whatever the reason is, there’s a simple solution. Let’s see how:

Double Byte and Single-Byte Fonts

When replacing fonts in PowerPoint, you might run into some trouble. This is because PowerPoint can’t replace double-byte fonts with single-byte fonts. So, what are a single byte font and double-byte font? Let’s see:

Single Byte Font

Single byte fonts are where every character of that font uses one byte of space. Which means they cannot contain more than 256 characters in each font. Most languages use single-byte fonts.

Double Byte Font

Double byte fonts are where each character of that font uses two bytes. Languages that have complicated letters use double-byte fonts. Such languages are Chinese, Japanese, Hebrew, etc.

How to Fix the “Unsupported Fonts” Error in PowerPoint?

‘Unsupported fonts’ is a common problem seen among PowerPoint users. If you like a specific font in your presentation and that font is not installed in your colleague’s computer or device, he can face the ‘unsupported fonts’ error when he tries to open the file. This can cause some confusion because the file works on your end but malfunctions in other devices.

There are two solutions to this problem. I am going to talk about both of those:

Method 1 – Embed the Fonts

The best solution is embedding fonts in your file. This will make sure the file runs not only on your colleague’s device but also on any device including mobile phones. Whoever you are sharing the file with won’t have to separately install fonts on their device.

Method 2 – Install the Specific Font on your Computer

Embedding fonts increases the file size. If you are using double-byte fonts that increase the size even more. Due to the large size, sharing files can become a problem. In such cases, if you know which fonts have been used in the file, you can then just install those specific fonts on your device to open the file.

Alternative Option – Replace the Fonts

If you don’t want to install specific fonts and work with what you have, you can replace the fonts. First of all, save the file .XML format. The open with ‘Notepad’. Click on Edit>Replace. In the ‘Find what’ box, write the fonts that you want to replace. In the ‘Replace with’ box, write the name of the font that you want to replace it with.

Then click on the ‘Replace All’ button. Repeat the process until you replace every type of font used in the file. Note that this method also works to change double-byte fonts into single-byte fonts.

How to Embed Fonts in PowerPoint

No matter how many fonts you use in your PowerPoint file; you can embed them in the file to make sure the file is accessible on any device.

  • After finishing your project, click on the ‘File’ tab in the top left.
  • Select the ‘Save as’ option.
  • Double click on the location that you want to save.
  • Go left of the ‘Save’ button, click on the ‘Tools’
  • Click on ‘Save options’ from the dropdown menu.
  • In the ‘Preserve fidelity when sharing this presentation’ section, check the ‘Embed fonts in the file’ box.
  • You can either select ‘Embed all characters’ or ‘Embed only the characters used in the presentation’ depending on your preference.
  • Click ‘OK’, then click ‘Save’ to save the file.

In fact, the solution is so intuitive, you may have missed it altogether while looking for a delete button or a trash bin somewhere in the application.

1. Open your PowerPoint presentation and right-click (or hold Control as you click) any slide you want to delete in the left sidebar.

2. From the drop-down list that appears, select "Delete" or "Delete Slide."

Even better, PowerPoint will actually allow you to delete multiple slides at once — in case you need to delete a whole section or trim a few extras here and there.

To delete a section of slides that are right next to each other, just hold shift and select the first and last slides in the section. This will select those slides, as well as every slide between them. Once they're selected, just delete them the same way you did above.

To delete multiple slides that aren't next to each other, hold down the Ctrl or Command key and click on each slide you want to delete. Once selected, right-click any of them and select the "Delete" option.

Recover your PowerPoint files

AutoRecover is a PowerPoint feature that attempts to recover files automatically in the event of a crash, power failure, or other unexpected application shutdown. It does this by periodically saving a copy of the file in the background. By default, AutoRecover saves a recovery file every 10 minutes. 

Important:  Do not use AutoRecover as a substitute for regularly saving your files by using AutoSave (see below) or by clicking Save . Saving your files frequently is the best way to preserve your work.

AutoRecover is different than AutoSave, which automatically saves your file as you work - just like when you save files manually. The AutoSave feature is available for Microsoft 365 subscribers. When AutoSave is turned on, AutoRecover files are rarely needed.

Autorecover files automatically reopen on next app start.

Normally, PowerPoint will automatically recover your work the next time you open the application following an unexpected shutdown. It does this by detecting if an AutoRecover file exists and automatically opening it. If you want to keep the recovered file, you should immediately save it before editing or closing. 

To manually open an AutoRecover file: 

Click the File button in the ribbon and then click the Home tab in the menu.

Click the Recover Unsaved Presentations button at the bottom of the screen to navigate to the folder where AutoRecover files are stored.

Change how frequently AutoRecover files are saved

In the PowerPoint ribbon, click File and then click the Home tab in the menu.

In the menu, click Options > Save .

Under the Save Presentations heading, modify the Save AutoRecover information every x minutes box.

Under the Save Presentations heading, modify the AutoRecover File Location box.

Note:  If you change the default AutoRecover file path, there are certain cases in which AutoRecover files will not be automatically deleted when no longer needed. 

Access the AutoRecover folder

You can navigate directly to the AutoRecover folder using Windows File Explorer. The location of the AutoRecover folder can be found in the Options dialog, in the Save tab. By default, the AutoRecover folder is located at:

After an unexpected shutdown, the Document Recovery pane automatically opens to help you get your files back. Document Recovery lists any files you had open that were recovered from the most recent time you saved them, the most recent time they were AutoSaved (if your file is on OneDrive or SharePoint and you are a Microsoft 365 subscriber), or the most recent time they were Auto Recovered.   

To see the entire Document Recovery pane, hover over the right edge of the pane until you see an arrow pointing left and right. Then click the arrow and drag it to the right to widen the Document Recovery pane. 

Replace  <username> with your username. 

You can navigate directly to the AutoRecover folder using the Finder. The location of the AutoRecover folder can be found in the Options dialog, in the Save tab. By default, the AutoRecover folder is located at:

With Microsoft PowerPoint speaker notes , you have your talking points handy during your presentation. But if you decide to remove those notes, it can be a tedious task. We'll show you how to remove the presentation notes all at once.

As a reminder, you can delete individual speaker notes easily. Open the presentation notes using the Notes button in the PowerPoint status bar or by clicking "Notes" in the ribbon on the View tab.

On the View tab, click Notes

Go to the slide with the notes that you want to delete, click in the Notes area, and remove the text. You can do this quickly by selecting all of the text and hitting your Delete key.

Select the text for the note and hit Delete

While this is fine for deleting notes on a handful of slides, it can be time-consuming if you have dozens of slides. Here's how to remove them all in one fell swoop.

Click File > Info. Under Inspect Presentation, you'll see that your slideshow contains presentation notes.

Click the "Check for Issues" drop-down box in that section, and then select "Inspect Document."

You'll see many items that you can inspect your document for, so remember this convenient tool for those types of things later.

For this task, you'll only check the box for "Presentation Notes" at the bottom, and uncheck the rest. When you're ready, click "Inspect."

After a moment, you'll see the results letting you know that the presentation notes were found during the inspection. Click "Remove All."

And just like that, your presentation notes will be gone! You can hit "Close" if you're finished with the Inspect Document tool.

Click the arrow on the top left to return to your slideshow, and you should no longer have speaker notes on your slides.

If you want a copy of those notes before you remove them, you can always save a copy of your presentation beforehand. Or, you can print just the speaker notes for a Microsoft PowerPoint slideshow .
