6 Tips for Managing Assignments and Submissions in Google Classroom

Google Classroom is a fantastic platform for disseminating information as well as for pushing out assignments and receiving submissions. However, if not organized, it can be very overwhelming for both teachers and students. Here are some tips for managing and organizing those assignments and submissions.

  • Understand and use Drive folders First, let’s take a second to clarify how Classroom Drive folders work. When a class is created in Classroom, a Drive folder for that class is simultaneously created. Only the teacher has access to this folder, so anything added to the folder will not be seen by the students. Similarly, when students are added to the class, a personal drive folder is created for each of them. The teacher does not have access to the student folder, only to the documents turned in. When a student submits an assignment digitally, Classroom automatically creates a subfolder in the teacher’s class drive folder, pre-labeled with the name of the assignment. All student submissions will be stored in this folder, labeled with the student name. This is great for organization!  From there, you can choose to leave it and have the folder organized by assignment, or move the submission to a folder shared with your student.
  • Create naming conventions Creating a naming convention helps you and your students to easily identify what the document is, and makes it easily searchable. I recommend using the following: Unit or Period number – Name of Unit – Type of Document .  A document using this naming convention might look something like this:  “2nd Period ELA – Poetry – e.e.cummings Reading”. Of course, it is always best for you to create something you can remember and your students will understand, so feel free to use any naming convention that works best for you, just remember to keep it consistent. 
  • Number assignments By numbering assignments, you are now giving students a quick reference. Instead of typing out or saying the whole title, you can just say, “please see and turn in assignment #5.”  This will also help you keep track of what has been turned in.  You can choose to number just the assignments that will be turned in, or all assignments.  
  • Create topics   Creating topics in Google Classroom is like creating folders in Google Drive. By creating a “Week” topic, students can easily see what is expected of them for the week. Another suggestion is to create a “Day” topic. In the “Day” topic, you can put things like attendance forms, Do Nows, exit tickets, and anything else the student will need that day. Other suggestions are creating unit topics, assignment type topics, or subject topics. 
  • Disable stream assignment alerts Another great tip is to disable the assignment alerts in the stream. You can do this by going to the settings gear and selecting “Classwork On The Stream” and “Hide Notifications”.  This will keep the stream clear and you can use it just for class announcements. Of course, make sure to remind your students to check the “Classwork” tab, or pin that as an announcement on the top of the stream.
  • Use due dates The last tip is to create due dates. If you set a due date, after that date has passed, students will no longer be able to edit or submit the assignment. This prevents you from receiving late assignments or constant edits. This is also a great way to set clear expectations and accountability.

New teaching and learning features in Google Workspace for Education

To help students and educators, Google Workspace for Education is launching new features across Google Classroom, Meet and more.

Every day, students and teachers around the world rely on Google Workspace for Education to plan lessons, get their homework done and more. Today, we’re sharing updates that make these tools even more accessible, collaborative, engaging and secure.

Enhanced personal learning in Google Classroom

  • Help students build literacy skills: Read Along is an interactive, speech-based reading tool that helps students independently build their reading skills. With Classroom’s new Read Along integration, educators can support differentiated learning with reading activities assigned based on the story’s Lexile® measure 1 or selected grade level. Educators can measure students’ progress and see metrics on accuracy, speed and comprehension. Express interest in the early access program , available in English.

Available with the Teaching and Learning Upgrade or Education Plus:

  • Deliver more relevant student intervention: As teachers add questions to their practice set , they see learning skills, suggested with the help of AI, that map to each question. Students receive hints when they need help based on the skills selected by teachers. Teachers will soon be able to review suggested hints, and add their own resources, like text hints or videos. Practice sets are available in English and will be rolling out to Spanish and Japanese in the coming weeks.
  • Save time with suggested questions: When educators create an assignment with a YouTube video attached, they’ll be able to add interactive questions to help students check their understanding as they watch. Educators can create their own questions or, available in English, select and edit questions that are suggested with the help of AI. Express interest in the beta , which is available in English, Spanish, Portuguese, Japanese and Malay.

With Google Classroom’s Read Along integration, educators will be able to measure progress and see metrics on accurary, speed and comprehension for individual students and the class overall.

With practice sets in Classroom, educators will soon be able to review suggested hints shown to students, and add their own resources, like text hints or videos.

When educators create an assignment with a YouTube video attached, they’ll soon be able to add interactive questions to help students check their understanding as they watch. Educators can create their own questions or, coming soon in English, select and edit questions that are suggested with the help of AI.

Collaborative school and class management in Google Classroom

Available with Google Workspace for Education Plus:

  • Visit a class to provide support: Get temporary class access to support educators, manage substitute teachers, see information for guardian conversations, and more — all without needing to be a co-teacher. To support transparent collaboration, visitors notify the educator with the reason for their visit. Admins must enable this feature for designated users or groups.
  • Make informed decisions : Designated education leaders and staff will be able to gain visibility into student performance and engagement, including if assignments are being completed, how grades are trending, and how Classroom is being adopted. Educators will be able to view similar information for their own classes, too. This feature is currently being piloted and will launch in the coming months.
  • Simplify lesson planning: Curriculum leaders and verified teachers can share links to class templates and classwork to see up-to-date content, or instructional design ideas, without needing to be a co-teacher. Express interest in the beta , available in English, Spanish, Portuguese and Japanese.
  • Tailor grading to your needs: Plan, organize and analyze assignments and grades based on grading periods (quarters, semesters, terms). Soon, customize your grading scales to align to your grading system, whether letter, numeric or custom. These features will be available for the Teaching and Learning Upgrade as well.

Available with all Google Workspace for Education editions:

  • Disable assignment submissions: Teachers will have the option to stop accepting submissions for an assignment after the due date or other specified date.
  • Communicate more efficiently : Enhance comments by formatting text to be bolded, italicized, underlined or laid out as bullet points. And reply to notifications right within your email.

Get temporary class access to support educators, manage substitute teachers, see information for guardian conversations, and more — all without needing to be a co-teacher. To support transparent collaboration, visitors notify the educator with the reason for their visit.

Classroom analytics will make it possible to gain visibility into student performance and engagement, including if assignments are being completed, how grades are trending, and how Classroom is being adopted. Educators will be able to view similar information for their own classes, too.

Curriculum leaders and educators can share links to class templates and classwork so educators can import classwork into their classes.

Customize your grading scales to align to your grading system, whether letter, numeric or custom.

Educators can soon have the option to stop accepting submissions for an assignment after the due date or other specified date.

Improved accessibility and engagement in Google Meet and Fonts

  • Make meetings more inclusive: In the coming months you’ll be able to pair your tile with someone else’s so if one of you speaks, you’re both highlighted. This can make meetings more inclusive when using voice or sign-language interpreters or when two people are presenting together.
  • Make your text more accessible: Google Fonts offers a number of new fonts that make reading easier in the Arabic, Cyrillic, and Latin writing systems. These fonts optimize a number of typeface attributes that improve their accessibility. For example, optimizing a font’s optical size enhances readability and comprehension for individuals with visual impairments or reading difficulties.
  • Increase live stream engagement: Educators use polls and Q&A in Meet to engage their students, solicit feedback and more. These capabilities are now rolling out in livestreams, which are available with the Teaching and Learning Upgrade or Education Plus.
  • Connect larger audiences: Students and educators with Education Plus can now have up to 1000 attendees in meetings: for example, 500 contributors and 500 viewers. Whereas contributors can fully participate in meetings, viewers can interact with polls and Q&A but can’t share audio or video, helping reduce meeting distractions and giving the meeting host more control.

Helping keep your digital learning environment safe

  • Expanding spam protections: We recently introduced a new view in Drive that makes it easier to separate and review your files, decide what you might view as spam, and stay safe from potential unwanted or abusive content. Now, Drive automatically classifies content into a spam view just like Gmail does today, protecting you from seeing dangerous or unwanted files.
  • Strengthen security with access controls: Earlier this year we announced improvements to context-aware access, like the ability for admins to set rules for apps that are accessing Workspace data via APIs, which is now available in Education Standard and Education Plus. Later this year, context-aware access will become even more helpful by surfacing critical security gaps and recommended context-aware settings that can be deployed with a few clicks.

Google is rolling out a new feature that allows teachers to disable submissions after a due date in Google Classroom.

The feature enables teachers to customise grading in Classroom, the tech giant said in a Workspace Updates blogpost on Thursday.

“The new option to disable submissions after a due date allows teachers to stop accepting submissions for an assignment past the due date.”

When creating a new assignment, teachers can decide whether or not to require a strict due date.

By default, the assignments tool will still allow submissions after the due date.

Moreover, the feature does not have admin control, and is available to all Google Workspace customers and users with personal Google Accounts

“We hope this highly requested feature gives teachers more control over their workflow by allowing them to set their own level of flexibility for accepting assignments,” the company said.

Last month, the company had said that rich text formatting is now available for class and private comments in Google Classroom, allowing teachers and students to customise and add emphasis to their content.

This feature includes– bolding, underlining, italicising and bulleted lists.

Also, the tech giant introduced a new option for visiting a class in Google Classroom.

This option allows “permissioned” users to temporarily access classes to support educators, post announcements, view student profiles and more, without being assigned as a permanent co-teacher.

Hide an Assignment for a Class

When you hide an assignment, it is hidden on your Assignments by class list and all class Data reports . It is also hidden from students' assignment lists, and from grades and progress reports for tests and assignments. You may want to hide an assignment to:

Temporarily prevent students from accessing tests or assignments after the due date/time.

  • Prevent assignments you have scheduled for future dates from showing on the students' assignment lists.
  • Stop assignments you've created but decided not to assign from showing on the students' assignment lists.

If you hide an assignment from a class or student imported from Google Classroom™, the assignment remains visible to students in Google Classroom. You must delete the assignment in Google Classroom to remove it from the Google Classroom assignments list.

Hide an Assignment

  • Click Classes on the top menu bar, and select one of your classes below.
  • On the left navigation pane, click Assignments , and then select Assignments by Class tab.
  • Select the assignment you want to hide. Select Hide from the 3-dot context menu menu.
  • Click Hide in the popup message. The assignment will be hidden from your assignment list.

Creating assignments and materials

Google Classroom gives you the ability to create and assign work for your students, all without having to print anything. Questions , essays , worksheets , and readings can all be distributed online and made easily available to your class. If you haven't created a class already, check out our Getting Started with Google Classroom lesson.

Creating an assignment

Whenever you want to create new assignments, questions, or material, you'll need to navigate to the Classwork tab.

In this tab, you can create assignments and view all current and past assignments. To create an assignment, click the Create button, then select Assignment . You can also select Question if you'd like to pose a single question to your students, or Material if you simply want to post a reading, visual, or other supplementary material.

This will bring up the Assignment form. Google Classroom offers considerable flexibility and options when creating assignments.

Click the buttons in the interactive below to become familiar with the Assignment form.

This is where you'll type the title of the assignment you're creating.

Instructions

If you'd like to include instructions with your assignment, you can type them here.

Here, you can decide how many points an assignment is worth by typing the number in the form. You can also click the drop-down arrow to select Ungraded if you don't want to grade an assignment.

You can select a due date for an assignment by clicking this arrow and selecting a date from the calendar that appears. Students will have until then to submit their work.

In Google Classroom, you can sort your assignments and materials into topics. This menu allows you to select an existing topic or create a new one to place an assignment under.

Attachments

You can attach files from your computer , files from Google Drive , URLs , and YouTube videos to your assignments.

Google Classroom gives you the option of sending assignments to all students or a select number .

Once you're happy with the assignment you've created, click Assign . The drop-down menu also gives you the option to Schedule  an assignment if you'd like it to post it at a later date.

You can attach a rubric to help students know your expectations for the assignment and to give them feedback.

Once you've completed the form and clicked Assign , your students will receive an email notification letting them know about the assignment.

Google Classroom takes all of your assignments and automatically adds them to your Google Calendar. From the Classwork tab, you can click Google Calendar to pull this up and get a better overall view of the timeline for your assignments' due dates.

Using Google Docs with assignments

When creating an assignment, there may often be times when you want to attach a document from Google Docs. These can be helpful when providing lengthy instructions, study guides, and other material.

When attaching these types of files, you'll want to make sure to choose the correct setting for how your students can interact with it . After attaching one to an assignment, you'll find a drop-down menu with three options.

Let's take a look at when you might want to use each of these:

  • Students can view file : Use this option if the file is simply something you want your students to view but not make any changes to.
  • Students can edit file : This option can be helpful if you're providing a document you want your students to collaborate on or fill out collectively.
  • Make a copy for each student : If you're creating a worksheet or document that you want each student to complete individually, this option will create a separate copy of the same document for every student.

Using topics

On the Classwork tab, you can use  topics to sort and group your assignments and material. To create a topic, click the Create button, then select Topic .

Topics can be helpful for organizing your content into the various units you teach throughout the year. You could also use it to separate your content by type , splitting it into homework, classwork, readings, and other topic areas.

Google Classroom has become synonymous with our school and college lives. From receiving notes, presentations, lectures, assignments, and probably everything else that one requires to get through their academic life, it can be shared on this platform. But do you remember those Classroom deadlines of 11:59 p.m. on an odd Friday? We all have surely struggled to press that submit button before our time is up, and at times (most of the time), we have pressed it way past our deadline. However, things might change with Google’s latest plans.

Google is rolling out a new feature that will allow teachers to customise their grading in Classroom. Through a blog post, Google has informed teachers that they will have the option to stop accepting submissions after the due date or a specific date for any assignment. This feature stands to help, as during online classroom teaching, it becomes quite difficult to keep a record of the submission dates.

To make this feature work, the tech giant has directed that the teachers be required to specify if any assignment needs a strict deadline or not at the time of creating it. The teachers will have to turn the feature on since, by default, students will be able to submit their assignments past their deadlines.

In a blog post, Google expressed, “This feature also allows teachers to choose to stop submissions for an assignment at any point, regardless of the strictness or presence of a due date.” The tech giant has further explained that any teacher can opt to accept submissions during a semester or a year and then turn it off when the time period is up.

Google notes in a blog post, “We hope this highly requested feature gives teachers more control over their workflow by allowing them to set their own level of flexibility for accepting assignments.” This feature is available to everyone who has personal Google accounts and to all Google Workspace customers. Reports suggest that though this feature was rolled out on July 28, it may take around 15 days to reach all the users.

After the pandemic, Google Classroom's education benefits are more recognizable than ever. However, some concerns remain. Can students see each other's work in Google classroom? Or, can students share their work on Google Classroom? And how to prevent students from sharing documents?

Well, you can change a few settings in the sharing preferences of your documents. However, Google's universe is vast and complicated. So, finding a way around it is not tough for the students who are hellbent on cheating. Therefore, the more effective way is to use a browser extension that is specifically built for this purpose. The following discussion shall shed some light on this issue. Read on to know how you can create a better educational environment for your students.

Can Students See Each Other’s Work In Google Classroom?

Any teacher using Google Classroom to streamline lessons and other school works has this concern. Can students see each other's work in Google Classroom? Or can students share documents in Google classroom? The short answer is Yes, they can. Unless you have been strategically about your settings. Or using an extension.

Why does this happen? Well, because your Google classroom links to the Google drive folder where you save all your student's assignments or school works.

A student might knowingly or unknowingly click on the link and reach that folder. And upon arrival, he or she would be able to view his or her classmates' works. Although unable to edit them.

How to prevent seeing each other’s work?

To prevent any student from reaching your assignment folder in Google Drive, first, you need to locate that specific folder.

Then right-click on it and choose the sharing options. Turn to Sharing OFF and save the settings.  Now, your student cannot see others' work in Google classroom.

No wonder Google classroom has been streamlining combined education for a while now. But if students can conduct unsupervised sharing of assignments with each other then cheating will become rampant. Eventually, being detrimental to their development. So, let's see how to stop students sharing. 

How To Prevent Students Sharing In Google Classroom?

For proper interaction, you have to let your students comment, edit and view the  Google docs. And in the case of schoolwork, these are assignments or other documents which are not be shared with classmates.

However, a student with permission to edit or comment on the file can also share it with others. Or, download and distribute it outside Google Classroom.  They will also have the power to add others or cut them off. These are default settings on the Google doc sharing platform.

So, here's how you deal with it. Get into the assignments folder and choose an assignment file (or multiple). Then select 'Share'. Choose the 'Advanced' option.

You will see another list of choices. Check the one that disables the downloading, printing, and copying for viewers, commentators and editors. This will disable sharing.

After that Save Changes. Then click Done. Remember that this blocks the sharing of only one file. So, if you have fifty students in your batch, you might have to change the settings of all fifty files.

Changing settings doesn't bulletproof the system. There might still be other ways a student can find. Because remember, Google always aims to make its platforms as sharing-friendly as possible.
