If you’re just starting out in research, chances are you’ve heard about the elusive research gap (also called a literature gap). In this post, we’ll explore the tricky topic of research gaps. We’ll explain what a research gap is, look at the four most common types of research gaps, and unpack how you can go about finding a suitable research gap for your dissertation, thesis or research project.

What (exactly) is a research gap?

Well, at the simplest level, a research gap is essentially an unanswered question or unresolved problem in a field, which reflects a lack of existing research in that space. Alternatively, a research gap can also exist when there’s already a fair deal of existing research, but where the findings of the studies pull in different directions , making it difficult to draw firm conclusions.

For example, let’s say your research aims to identify the cause (or causes) of a particular disease. Upon reviewing the literature, you may find that there’s a body of research that points toward cigarette smoking as a key factor – but at the same time, a large body of research that finds no link between smoking and the disease. In that case, you may have something of a research gap that warrants further investigation.

Now that we’ve defined what a research gap is – an unanswered question or unresolved problem – let’s look at a few different types of research gaps.

Types of research gaps

While there are many different types of research gaps, the four most common ones we encounter when helping students at Grad Coach are as follows:

  • The classic literature gap
  • The disagreement gap
  • The contextual gap, and
  • The methodological gap

1. The Classic Literature Gap

First up is the classic literature gap. This type of research gap emerges when there’s a new concept or phenomenon that hasn’t been studied much, or at all. For example, when a social media platform is launched, there’s an opportunity to explore its impacts on users, how it could be leveraged for marketing, its impact on society, and so on. The same applies for new technologies, new modes of communication, transportation, etc.

Classic literature gaps can present exciting research opportunities , but a drawback you need to be aware of is that with this type of research gap, you’ll be exploring completely new territory . This means you’ll have to draw on adjacent literature (that is, research in adjacent fields) to build your literature review, as there naturally won’t be very many existing studies that directly relate to the topic. While this is manageable, it can be challenging for first-time researchers, so be careful not to bite off more than you can chew.

2. The Disagreement Gap

As the name suggests, the disagreement gap emerges when there are contrasting or contradictory findings in the existing research regarding a specific research question (or set of questions). The hypothetical example we looked at earlier regarding the causes of a disease reflects a disagreement gap.

Importantly, for this type of research gap, there needs to be a relatively balanced set of opposing findings . In other words, a situation where 95% of studies find one result and 5% find the opposite result wouldn’t quite constitute a disagreement in the literature. Of course, it’s hard to quantify exactly how much weight to give to each study, but you’ll need to at least show that the opposing findings aren’t simply a corner-case anomaly .

3. The Contextual Gap

The third type of research gap is the contextual gap. Simply put, a contextual gap exists when there’s already a decent body of existing research on a particular topic, but an absence of research in specific contexts .

For example, there could be a lack of research on:

  • A specific population – perhaps a certain age group, gender or ethnicity
  • A geographic area – for example, a city, country or region
  • A certain time period – perhaps the bulk of the studies took place many years or even decades ago and the landscape has changed.

The contextual gap is a popular option for dissertations and theses, especially for first-time researchers, as it allows you to develop your research on a solid foundation of existing literature and potentially even use existing survey measures.

Importantly, if you’re gonna go this route, you need to ensure that there’s a plausible reason why you’d expect potential differences in the specific context you choose. If there’s no reason to expect different results between existing and new contexts, the research gap wouldn’t be well justified. So, make sure that you can clearly articulate why your chosen context is “different” from existing studies and why that might reasonably result in different findings.

4. The Methodological Gap

Last but not least, we have the methodological gap. As the name suggests, this type of research gap emerges as a result of the research methodology or design of existing studies. With this approach, you’d argue that the methodology of existing studies is lacking in some way , or that they’re missing a certain perspective.

For example, you might argue that the bulk of the existing research has taken a quantitative approach, and therefore there is a lack of rich insight and texture that a qualitative study could provide. Similarly, you might argue that existing studies have primarily taken a cross-sectional approach , and as a result, have only provided a snapshot view of the situation – whereas a longitudinal approach could help uncover how constructs or variables have evolved over time.

Practical Examples

Let’s take a look at some practical examples so that you can see how research gaps are typically expressed in written form. Keep in mind that these are just examples – not actual current gaps (we’ll show you how to find these a little later!).

Context: Healthcare

Despite extensive research on diabetes management, there’s a research gap in terms of understanding the effectiveness of digital health interventions in rural populations (compared to urban ones) within Eastern Europe.

Context: Environmental Science

While a wealth of research exists regarding plastic pollution in oceans, there is significantly less understanding of microplastic accumulation in freshwater ecosystems like rivers and lakes, particularly within Southern Africa.

Context: Education

While empirical research surrounding online learning has grown over the past five years, there remains a lack of comprehensive studies regarding the effectiveness of online learning for students with special educational needs.

As you can see in each of these examples, the author begins by clearly acknowledging the existing research and then proceeds to explain where the current area of lack (i.e., the research gap) exists.

How To Find A Research Gap

Now that you’ve got a clearer picture of the different types of research gaps, the next question is of course, “how do you find these research gaps?” .

Well, we cover the process of how to find original, high-value research gaps in a separate post . But, for now, I’ll share a basic two-step strategy here to help you find potential research gaps.

As a starting point, you should find as many literature reviews, systematic reviews and meta-analyses as you can, covering your area of interest. Additionally, you should dig into the most recent journal articles to wrap your head around the current state of knowledge. It’s also a good idea to look at recent dissertations and theses (especially doctoral-level ones). Dissertation databases such as ProQuest, EBSCO and Open Access are a goldmine for this sort of thing. Importantly, make sure that you’re looking at recent resources (ideally those published in the last year or two), or the gaps you find might have already been plugged by other researchers.

Once you’ve gathered a meaty collection of resources, the section that you really want to focus on is the one titled “ further research opportunities ” or “further research is needed”. In this section, the researchers will explicitly state where more studies are required – in other words, where potential research gaps may exist. You can also look at the “ limitations ” section of the studies, as this will often spur ideas for methodology-based research gaps.

By following this process, you’ll orient yourself with the current state of research , which will lay the foundation for you to identify potential research gaps. You can then start drawing up a shortlist of ideas and evaluating them as candidate topics . But remember, make sure you’re looking at recent articles – there’s no use going down a rabbit hole only to find that someone’s already filled the gap 🙂

Gap Statements

  A gap is something that remains to be done or learned in an area of research; it’s a gap in the knowledge of the scientists in the field of research of your study. Every research project must, in some way, address a gap–that is, attempt to fill in some piece of information missing in the scientific literature. Otherwise, it is not novel research and is therefore not contributing to the overall goals of science.

Identify the gap.

  A gap statement is found in the Introduction section of a journal article or poster or in the Goals and Importance section of a research proposal and succinctly identifies for your audience the gap that you will attempt to address in your project.

A gap might be a lack of understanding about how well a particular instrument works in a certain situation. It could be introducing a new method that needs to be tested. Or it could be that you are studying a whole new organism, system, or part of a process. Your project may also address multiple gaps, in which case you should be sure to identify each of them clearly!

In a class, you might not always be studying something brand “new.” But, in most cases, you should still try to come up with something unique about your project, however small. Talk to your professor about what they expect for your gap statement if nothing seems to work.

Here, the authors signal to us that this is a gap because they use the words “has not yet been clarified.” Other phrases that might help you identify (or form!) a gap statement are:

  • …has/have not been… (studied/reported/elucidated)
  • …is required/needed…
  • …the key question is/remains…
  • …it is important to address…

Fill the gap.

  Once you identify the gap in the literature, you must tell your audience how you attempt to at least somewhat address in your project this lack of knowledge or understanding . In a journal article or poster, this is often done in a new paragraph and should be accomplished in one summary statement, such as:

Therefore, the purpose of this study was to determine the effects of lead on the hepatobiliary system, especially on the liver and on the gallbladder (adapted from Sipos et al. 2003 ).

You’ll often find that the first sentence of the last paragraph in a paper’s introduction will start somewhat like this, indicating the gap fill.  

Remember–always keep your voice professional! Colloquial phrases such as “we looked into” or “we checked if” should be avoided when introducing your gap fill.

So let’s look at this idea in context by looking at some examples from a couple of types of papers. The gap statements are underlined; the fills are italicized.  

In the second and third examples, the gap may be a little less obvious–it doesn’t use any phrases to signal to you that there’s something missing, such as “has not been clarified” or “have not been reported.” But because of the way the paragraph is laid out–following the conventions of our move structures–we can see that the underlined section of text is indeed the missing information in the literature that the group sought to address in their project.

Simply put, a research gap is an area that hasn’t been explored in the existing literature. This could be an unexplored population, an untested method, or a condition that hasn’t been investigated yet.

Identifying a research gap is a foundational step in the research process. It ensures that your research is significant and has the ability to advance knowledge within a specific area. It also helps you align your work with the current needs and challenges of your field. Identifying a research gap has many potential benefits.

1. Avoid Redundancy in Your Research

Understanding the existing literature helps researchers avoid duplication. This means you can steer clear of topics that have already been extensively studied. This ensures your work is novel and contributes something new to the field.

2. Guide the Research Design

Identifying a research gap helps shape your research design and questions. You can tailor your studies to specifically address the identified gap. This ensures that your work directly contributes to filling the void in knowledge.

3. Practical Applications

Research that addresses a gap is more likely to have practical applications and contributions. Whether in academia, industry, or policymaking, research that fills a gap in knowledge is often more applicable and can inform decision-making and practices in real-world contexts.

4. Field Advancements

Addressing a research gap can lead to advancements in the field . It may result in the development of new theories, methodologies, or technologies that push the boundaries of current understanding.

5. Strategic Research Planning

Identifying a research gap is crucial for strategic planning . It helps researchers and institutions prioritize areas that need attention so they can allocate resources effectively. This ensures that efforts are directed toward the most critical gaps in knowledge.

6. Academic and Professional Recognition

Researchers who successfully address significant research gaps often receive peer recognition within their academic and professional communities. This recognition can lead to opportunities for collaboration, funding, and career advancement.

How Do I Identify a Research Gap?

Begin by clearly defining your research topic. A well-scoped topic serves as the foundation for your studies. Make sure it’s not too broad or too narrow; striking the right balance will make it easier to identify gaps in existing literature.

Stay up to date with the latest publications, conferences, and discussions in your field and make sure to regularly check relevant academic search engines . Often, identifying a research gap involves being at the forefront of current debates and discussions.

Seek Guidance From Experts

Don’t hesitate to reach out to experts in your field for guidance. Attend conferences, workshops, or seminars where you can interact with seasoned researchers. Their insights and experience can provide valuable perspectives on potential research gaps that you may have overlooked. You can also seek advice from your academic advisor .

Use Research Tools and Analytics

Leverage tech tools to analyze patterns and trends in the existing literature. Tools like citation analysis, keyword mapping, and data visualization can help you identify gaps and areas with limited exploration.

This article is an excerpt from a lecture given by my Ph.D. guide, a researcher in public health. She advised us on how to identify research gaps to pursue innovative research in our fields.

What is a Research Gap?

Today we are talking about the research gap: what is it, how to identify it, and how to make use of it so that you can pursue innovative research. Now, how many of you have ever felt you had discovered a new and exciting research question , only to find that it had already been written about? I have experienced this more times than I can count. Graduate studies come with pressure to add new knowledge to the field. We can contribute to the progress and knowledge of humanity. To do this, we need to first learn to identify research gaps in the existing literature.

A research gap is, simply, a topic or area for which missing or insufficient information limits the ability to reach a conclusion for a question. It should not be confused with a research question, however. For example, if we ask the research question of what the healthiest diet for humans is, we would find many studies and possible answers to this question. On the other hand, if we were to ask the research question of what are the effects of antidepressants on pregnant women, we would not find much-existing data. This is a research gap. When we identify a research gap, we identify a direction for potentially new and exciting research.

How to Identify Research Gap?

Considering the volume of existing research, identifying research gaps can seem overwhelming or even impossible. I don’t have time to read every paper published on public health. Similarly, you guys don’t have time to read every paper. So how can you identify a research gap?

There are different techniques in various disciplines, but we can reduce most of them down to a few steps, which are:

  • Identify your key motivating issue/question
  • Identify key terms associated with this issue
  • Review the literature, searching for these key terms and identifying relevant publications
  • Review the literature cited by the key publications which you located in the above step
  • Identify issues not addressed by  the literature relating to your critical  motivating issue

It is the last step which we all find the most challenging. It can be difficult to figure out what an article is  not  saying. I like to keep a list of notes of biased or inconsistent information. You could also track what authors write as “directions for future research,” which often can point us towards the existing gaps.

Different Types of Research Gaps

Identifying research gaps is an essential step in conducting research, as it helps researchers to refine their research questions and to focus their research efforts on areas where there is a need for more knowledge or understanding.

1. Knowledge gaps

These are gaps in knowledge or understanding of a subject, where more research is needed to fill the gaps. For example, there may be a lack of understanding of the mechanisms behind a particular disease or how a specific technology works.

2. Conceptual gaps

These are gaps in the conceptual framework or theoretical understanding of a subject. For example, there may be a need for more research to understand the relationship between two concepts or to refine a theoretical framework.

3. Methodological gaps

These are gaps in the methods used to study a particular subject. For example, there may be a need for more research to develop new research methods or to refine existing methods to address specific research questions.

4. Data gaps

These are gaps in the data available on a particular subject. For example, there may be a need for more research to collect data on a specific population or to develop new measures to collect data on a particular construct.

5. Practical gaps

These are gaps in the application of research findings to practical situations. For example, there may be a need for more research to understand how to implement evidence-based practices in real-world settings or to identify barriers to implementing such practices.

Examples of Research Gap

Limited understanding of the underlying mechanisms of a disease:.

Despite significant research on a particular disease, there may be a lack of understanding of the underlying mechanisms of the disease. For example, although much research has been done on Alzheimer’s disease, the exact mechanisms that lead to the disease are not yet fully understood.

Inconsistencies in the findings of previous research:

When previous research on a particular topic has inconsistent findings, there may be a need for further research to clarify or resolve these inconsistencies. For example, previous research on the effectiveness of a particular treatment for a medical condition may have produced inconsistent findings, indicating a need for further research to determine the true effectiveness of the treatment.

Limited research on emerging technologies:

As new technologies emerge, there may be limited research on their applications, benefits, and potential drawbacks. For example, with the increasing use of artificial intelligence in various industries, there is a need for further research on the ethical, legal, and social implications of AI.

How to Deal with Literature Gap?

Once you have identified the literature gaps, it is critical to prioritize. You may find many questions which remain to be answered in the literature. Often one question must be answered before the next can be addressed. In prioritizing the gaps, you have identified, you should consider your funding agency or stakeholders, the needs of the field, and the relevance of your questions to what is currently being studied. Also, consider your own resources and ability to conduct the research you’re considering. Once you have done this, you can narrow your search down to an appropriate question.

Tools to Help Your Search

There are thousands of new articles published every day, and staying up to date on the literature can be overwhelming. You should take advantage of the technology that is available. Some services include  PubCrawler ,  Feedly ,  Google Scholar , and PubMed updates. Stay up to date on social media forums where scholars share new discoveries, such as Twitter. Reference managers such as  Mendeley  can help you keep your references well-organized. I personally have had success using Google Scholar and PubMed to stay current on new developments and track which gaps remain in my personal areas of interest.

The most important thing I want to impress upon you today is that you will struggle to  choose a research topic  that is innovative and exciting if you don’t know the existing literature well. This is why identifying research gaps starts with an extensive and thorough  literature review . But give yourself some boundaries.  You don’t need to read every paper that has ever been written on a topic. You may find yourself thinking you’re on the right track and then suddenly coming across a paper that you had intended to write! It happens to everyone- it happens to me quite often. Don’t give up- keep reading and you’ll find what you’re looking for.

How to Define a Research Problem | Ideas & Examples

A research problem is a specific issue or gap in existing knowledge that you aim to address in your research. You may choose to look for practical problems aimed at contributing to change, or theoretical problems aimed at expanding knowledge.

Some research will do both of these things, but usually the research problem focuses on one or the other. The type of research problem you choose depends on your broad topic of interest and the type of research you think will fit best.

This article helps you identify and refine a research problem. When writing your research proposal or introduction , formulate it as a problem statement and/or research questions .

Having an interesting topic isn’t a strong enough basis for academic research. Without a well-defined research problem, you are likely to end up with an unfocused and unmanageable project.

You might end up repeating what other people have already said, trying to say too much, or doing research without a clear purpose and justification. You need a clear problem in order to do research that contributes new and relevant insights.

Practical research problems

If you are doing practical research, you can identify a problem by reading reports, following up on previous research, or talking to people who work in the relevant field or organization. You might look for:

  • Issues with performance or efficiency
  • Processes that could be improved
  • Areas of concern among practitioners
  • Difficulties faced by specific groups of people

Examples of practical research problems

Voter turnout in New England has been decreasing, in contrast to the rest of the country.

The HR department of a local chain of restaurants has a high staff turnover rate.

A non-profit organization faces a funding gap that means some of its programs will have to be cut.

Theoretical research problems

If you are doing theoretical research, you can identify a research problem by reading existing research, theory, and debates on your topic to find a gap in what is currently known about it. You might look for:

  • A phenomenon or context that has not been closely studied
  • A contradiction between two or more perspectives
  • A situation or relationship that is not well understood
  • A troubling question that has yet to be resolved

Examples of theoretical research problems

The effects of long-term Vitamin D deficiency on cardiovascular health are not well understood.

The relationship between gender, race, and income inequality has yet to be closely studied in the context of the millennial gig economy.

Historians of Scottish nationalism disagree about the role of the British Empire in the development of Scotland’s national identity.

Next, you have to find out what is already known about the problem, and pinpoint the exact aspect that your research will address.

Context and background

  • Who does the problem affect?
  • Is it a newly-discovered problem, or a well-established one?
  • What research has already been done?
  • What, if any, solutions have been proposed?
  • What are the current debates about the problem? What is missing from these debates?

Specificity and relevance

  • What particular place, time, and/or group of people will you focus on?
  • What aspects will you not be able to tackle?
  • What will the consequences be if the problem is not resolved?

Example of a specific research problem

A local non-profit organization focused on alleviating food insecurity has always fundraised from its existing support base. It lacks understanding of how best to target potential new donors. To be able to continue its work, the organization requires research into more effective fundraising strategies.

Writing Strong Research Questions

Research questions anchor your whole project, so it’s important to spend some time refining them.

In general, they should be:

  • Focused and researchable
  • Answerable using credible sources
  • Complex and arguable
  • Feasible and specific
  • Relevant and original

Your research objectives indicate how you’ll try to address your research problem and should be specific:

A research aim is a broad statement indicating the general purpose of your research project. It should appear in your introduction at the end of your problem statement , before your research objectives.

Research objectives are more specific than your research aim. They indicate the specific ways you’ll address the overarching aim.

Developing the core elements of a research proposal: Finding a gap in the literature, mapping contributions to scholarship

I recently participated in a doctoral candidacy exam recently (a student who asked me to sit on her committee, but whom I’m not directly supervising), abd my participation prompted me to reconsider what and how I teach my doctoral students. I reflect on this issue frequently because I am really trying to improve how I supervise undergraduate and graduate students. That’s also why I generate resources for graduate students , including my recent post on how to develop good research questions .

I am reading so many books on how to conduct research and write a doctoral dissertation for the same reason. Because I have students at all stages of the dissertation, I have started paying more attention to how students (mine and other professors’) communicate their research to different audiences and how they demonstrate their command of the literature and the elements of their research.

Filing, archiving and decluttering

I came up with the following main 5 questions that a graduate student, particularly a doctoral candidate (or a student wanting to advance to candidacy) should be able to answer about their own research.

The five elements that I believe every student should be able to clearly identify at all stages of their research, but particularly at the proposal defense include:

  • Boundaries of the system under study : What system are you studying and where does it start, and where does it stop? In determining the boundaries, we also need to consider geographical boundaries , but also analytical boundaries – what are you analyzing and what are you NOT analyzing and why.
  • The problem, issue, puzzle . What problem are you seeking to examine/explain/explore, and why? Why is it a problem? Is it an issue that needs to be addressed through societal interventions? Is it an issue that requires strategic action? Why is the problem worth studying?
  • Analytical and scalar architecture : What scale are you working at? Are you studying phenomena at the neighbourhood, community scales, local governments, individuals, federal systems? Are you analyzing cross-scalar dynamics (e.g. the relationship between federal and local systems)?
  • Unit of analysis : What exactly are you studying? Is it a city, a country, a region? A community? Individuals within the community? Is it a case or a series of cases? Which actors/phenomena are you focusing on?
  • Data collection and data analysis methods and methodologies . There is a very clear difference between data COLLECTION (and types of data) and data ANALYSIS (and methods of analysis), and you SHOULD know it.

Inside an oral doctoral candidacy exam and/or proposal defense Now, depending on how universities do their candidacy exams, many will include comprehensive exams AND proposal defense within the same event/meeting. The one I attended was exactly like this, so I now want to turn to a discussion of what a doctoral student should be able to do at the proposal defense/candidacy exam. Whether these are combined events or separate, the same reasoning applies.

Committee members should be able to ask the candidate to move laterally (and have mastered works from literatures related to their problem) & vertically (be able to discuss in depth works focusing on a specific topic). In the case of vertical movement, the topic of discussion must be part of the body of works that are included in candidate comprehensive exams. My concern for my own students’ mastery of the field(s) they work led me to writing a blog post on how I approached preparing for my doctoral comprehensive exams and another one on how I map out a new field of scholarship until I find a gap .

Concept saturation

The gap in the literature: How do we identify what we are contributing to scholarship? One of the main issues I’ve seen with doctoral dissertation and with graduate students in PhD programmes is that they have a really hard time identifying their contributions, whether minor or major. To identify these gaps, it’s important to conduct a thorough literature review, although as I’ve written before, how many sources a student or scholar need to read in order to find a gap in the literature varies enormously . What I recommend is reading and doing citation tracing until reaching conceptual saturation . This includes doing forward AND backward citation tracing (who cites who, basically – mapping out the network of scholars and works who cite each other until they start repeating themselves and citing themselves back-and-forth).

Here are a few questions PhD advisors can ask students to help them identify the gap in the literature:

  • What do YOU add to what we know about Phenomenon Y?
  • What do we need to know to improve our understanding of Literature Z?”

Establishing a thesis’ contribution to the literature/scholarship at large. Once students have conducted a thorough literature review and identified gaps, they’re better positioned to establish contributions they make to broader scholarship. A few ways include:

  • Developing an innovative framework to analyze a phenomenon.
  • Integrating literatures that didn’t dialogue before.
  • Generating new data or collecting data that was not available in the present form.

Choosing the exact dissertation topic should happen AFTER conducting a thorough literature review, identifying gaps in the literature, and choosing ways in which the doctoral dissertation contributes to scholarship at large. Hopefully this blog post will help both my own doctoral students and others find strategies to develop the core elements of their research proposal, identify a gap in the literature and build a doctoral dissertation that contributes to their chosen field, all the while maintaining their dissertation research manageable and narrow enough that they will be able to complete it on time and within the constraints of their possibilities.

At the end of the day, it is my hope with this series of blog posts on the doctoral journey that PhD candidates will be able to easily identify the components of their research, before their doctoral dissertation defense .

The goal of a research proposal is twofold: to present and justify the need to study a research problem and to present the practical ways in which the proposed study should be conducted. The design elements and procedures for conducting research are governed by standards of the predominant discipline in which the problem resides, therefore, the guidelines for research proposals are more exacting and less formal than a general project proposal. Research proposals contain extensive literature reviews. They must provide persuasive evidence that a need exists for the proposed study. In addition to providing a rationale, a proposal describes detailed methodology for conducting the research consistent with requirements of the professional or academic field and a statement on anticipated outcomes and benefits derived from the study's completion.

How to Approach Writing a Research Proposal

Your professor may assign the task of writing a research proposal for the following reasons:

  • Develop your skills in thinking about and designing a comprehensive research study;
  • Learn how to conduct a comprehensive review of the literature to determine that the research problem has not been adequately addressed or has been answered ineffectively and, in so doing, become better at locating pertinent scholarship related to your topic;
  • Improve your general research and writing skills;
  • Practice identifying the logical steps that must be taken to accomplish one's research goals;
  • Critically review, examine, and consider the use of different methods for gathering and analyzing data related to the research problem; and,
  • Nurture a sense of inquisitiveness within yourself and to help see yourself as an active participant in the process of conducting scholarly research.

A proposal should contain all the key elements involved in designing a completed research study, with sufficient information that allows readers to assess the validity and usefulness of your proposed study. The only elements missing from a research proposal are the findings of the study and your analysis of those findings. Finally, an effective proposal is judged on the quality of your writing and, therefore, it is important that your proposal is coherent, clear, and compelling.

Regardless of the research problem you are investigating and the methodology you choose, all research proposals must address the following questions:

  • What do you plan to accomplish? Be clear and succinct in defining the research problem and what it is you are proposing to investigate.
  • Why do you want to do the research? In addition to detailing your research design, you also must conduct a thorough review of the literature and provide convincing evidence that it is a topic worthy of in-depth study. A successful research proposal must answer the "So What?" question.
  • How are you going to conduct the research? Be sure that what you propose is doable. If you're having difficulty formulating a research problem to propose investigating, go here for strategies in developing a problem to study.

Common Mistakes to Avoid

  • Failure to be concise . A research proposal must be focused and not be "all over the map" or diverge into unrelated tangents without a clear sense of purpose.
  • Failure to cite landmark works in your literature review . Proposals should be grounded in foundational research that lays a foundation for understanding the development and scope of the the topic and its relevance.
  • Failure to delimit the contextual scope of your research [e.g., time, place, people, etc.]. As with any research paper, your proposed study must inform the reader how and in what ways the study will frame the problem.
  • Failure to develop a coherent and persuasive argument for the proposed research . This is critical. In many workplace settings, the research proposal is a formal document intended to argue for why a study should be funded.
  • Sloppy or imprecise writing, or poor grammar . Although a research proposal does not represent a completed research study, there is still an expectation that it is well-written and follows the style and rules of good academic writing.
  • Too much detail on minor issues, but not enough detail on major issues . Your proposal should focus on only a few key research questions in order to support the argument that the research needs to be conducted. Minor issues, even if valid, can be mentioned but they should not dominate the overall narrative.

Structure and Writing Style

Beginning the Proposal Process

As with writing most college-level academic papers, research proposals are generally organized the same way throughout most social science disciplines. The text of proposals generally vary in length between ten and thirty-five pages, followed by the list of references. However, before you begin, read the assignment carefully and, if anything seems unclear, ask your professor whether there are any specific requirements for organizing and writing the proposal.

A good place to begin is to ask yourself a series of questions:

  • What do I want to study?
  • Why is the topic important?
  • How is it significant within the subject areas covered in my class?
  • What problems will it help solve?
  • How does it build upon [and hopefully go beyond] research already conducted on the topic?
  • What exactly should I plan to do, and can I get it done in the time available?

In general, a compelling research proposal should document your knowledge of the topic and demonstrate your enthusiasm for conducting the study. Approach it with the intention of leaving your readers feeling like, "Wow, that's an exciting idea and I can’t wait to see how it turns out!"

Most proposals should include the following sections:

I.  Introduction

In the real world of higher education, a research proposal is most often written by scholars seeking grant funding for a research project or it's the first step in getting approval to write a doctoral dissertation. Even if this is just a course assignment, treat your introduction as the initial pitch of an idea based on a thorough examination of the significance of a research problem. After reading the introduction, your readers should not only have an understanding of what you want to do, but they should also be able to gain a sense of your passion for the topic and to be excited about the study's possible outcomes. Note that most proposals do not include an abstract [summary] before the introduction.

Think about your introduction as a narrative written in two to four paragraphs that succinctly answers the following four questions :

  • What is the central research problem?
  • What is the topic of study related to that research problem?
  • What methods should be used to analyze the research problem?
  • Answer the "So What?" question by explaining why this is important research, what is its significance, and why should someone reading the proposal care about the outcomes of the proposed study?

II.  Background and Significance

This is where you explain the scope and context of your proposal and describe in detail why it's important. It can be melded into your introduction or you can create a separate section to help with the organization and narrative flow of your proposal. Approach writing this section with the thought that you can’t assume your readers will know as much about the research problem as you do. Note that this section is not an essay going over everything you have learned about the topic; instead, you must choose what is most relevant in explaining the aims of your research.

To that end, while there are no prescribed rules for establishing the significance of your proposed study, you should attempt to address some or all of the following:

  • State the research problem and give a more detailed explanation about the purpose of the study than what you stated in the introduction. This is particularly important if the problem is complex or multifaceted .
  • Present the rationale of your proposed study and clearly indicate why it is worth doing; be sure to answer the "So What? question [i.e., why should anyone care?].
  • Describe the major issues or problems examined by your research. This can be in the form of questions to be addressed. Be sure to note how your proposed study builds on previous assumptions about the research problem.
  • Explain the methods you plan to use for conducting your research. Clearly identify the key sources you intend to use and explain how they will contribute to your analysis of the topic.
  • Describe the boundaries of your proposed research in order to provide a clear focus. Where appropriate, state not only what you plan to study, but what aspects of the research problem will be excluded from the study.
  • If necessary, provide definitions of key concepts, theories, or terms.

III.  Literature Review

Connected to the background and significance of your study is a section of your proposal devoted to a more deliberate review and synthesis of prior studies related to the research problem under investigation . The purpose here is to place your project within the larger whole of what is currently being explored, while at the same time, demonstrating to your readers that your work is original and innovative. Think about what questions other researchers have asked, what methodological approaches they have used, and what is your understanding of their findings and, when stated, their recommendations. Also pay attention to any suggestions for further research.

Since a literature review is information dense, it is crucial that this section is intelligently structured to enable a reader to grasp the key arguments underpinning your proposed study in relation to the arguments put forth by other researchers. A good strategy is to break the literature into "conceptual categories" [themes] rather than systematically or chronologically describing groups of materials one at a time. Note that conceptual categories generally reveal themselves after you have read most of the pertinent literature on your topic so adding new categories is an on-going process of discovery as you review more studies. How do you know you've covered the key conceptual categories underlying the research literature? Generally, you can have confidence that all of the significant conceptual categories have been identified if you start to see repetition in the conclusions or recommendations that are being made.

NOTE: Do not shy away from challenging the conclusions made in prior research as a basis for supporting the need for your proposal. Assess what you believe is missing and state how previous research has failed to adequately examine the issue that your study addresses. To help frame your proposal's review of prior research, consider the "five C’s" of writing a literature review:

  • Cite , so as to keep the primary focus on the literature pertinent to your research problem.
  • Compare the various arguments, theories, methodologies, and findings expressed in the literature: what do the authors agree on? Who applies similar approaches to analyzing the research problem?
  • Contrast the various arguments, themes, methodologies, approaches, and controversies expressed in the literature: describe what are the major areas of disagreement, controversy, or debate among scholars?
  • Critique the literature: Which arguments are more persuasive, and why? Which approaches, findings, and methodologies seem most reliable, valid, or appropriate, and why? Pay attention to the verbs you use to describe what an author says/does [e.g., asserts, demonstrates, argues, etc.].
  • Connect the literature to your own area of research and investigation: how does your own work draw upon, depart from, synthesize, or add a new perspective to what has been said in the literature?

IV.  Research Design and Methods

This section must be well-written and logically organized because you are not actually doing the research, yet, your reader must have confidence that you have a plan worth pursuing . The reader will never have a study outcome from which to evaluate whether your methodological choices were the correct ones. Thus, the objective here is to convince the reader that your overall research design and proposed methods of analysis will correctly address the problem and that the methods will provide the means to effectively interpret the potential results. Your design and methods should be unmistakably tied to the specific aims of your study.

Describe the overall research design by building upon and drawing examples from your review of the literature. Consider not only methods that other researchers have used, but methods of data gathering that have not been used but perhaps could be. Be specific about the methodological approaches you plan to undertake to obtain information, the techniques you would use to analyze the data, and the tests of external validity to which you commit yourself [i.e., the trustworthiness by which you can generalize from your study to other people, places, events, and/or periods of time].

When describing the methods you will use, be sure to cover the following:

  • Specify the research process you will undertake and the way you will interpret the results obtained in relation to the research problem. Don't just describe what you intend to achieve from applying the methods you choose, but state how you will spend your time while applying these methods [e.g., coding text from interviews to find statements about the need to change school curriculum; running a regression to determine if there is a relationship between campaign advertising on social media sites and election outcomes in Europe ].
  • Keep in mind that the methodology is not just a list of tasks; it is a deliberate argument as to why techniques for gathering information add up to the best way to investigate the research problem. This is an important point because the mere listing of tasks to be performed does not demonstrate that, collectively, they effectively address the research problem. Be sure you clearly explain this.
  • Anticipate and acknowledge any potential barriers and pitfalls in carrying out your research design and explain how you plan to address them. No method applied to research in the social and behavioral sciences is perfect, so you need to describe where you believe challenges may exist in obtaining data or accessing information. It's always better to acknowledge this than to have it brought up by your professor!

V.  Preliminary Suppositions and Implications

Just because you don't have to actually conduct the study and analyze the results, doesn't mean you can skip talking about the analytical process and potential implications . The purpose of this section is to argue how and in what ways you believe your research will refine, revise, or extend existing knowledge in the subject area under investigation. Depending on the aims and objectives of your study, describe how the anticipated results will impact future scholarly research, theory, practice, forms of interventions, or policy making. Note that such discussions may have either substantive [a potential new policy], theoretical [a potential new understanding], or methodological [a potential new way of analyzing] significance.   When thinking about the potential implications of your study, ask the following questions:

  • What might the results mean in regards to challenging the theoretical framework and underlying assumptions that support the study?
  • What suggestions for subsequent research could arise from the potential outcomes of the study?
  • What will the results mean to practitioners in the natural settings of their workplace, organization, or community?
  • Will the results influence programs, methods, and/or forms of intervention?
  • How might the results contribute to the solution of social, economic, or other types of problems?
  • Will the results influence policy decisions?
  • In what way do individuals or groups benefit should your study be pursued?
  • What will be improved or changed as a result of the proposed research?
  • How will the results of the study be implemented and what innovations or transformative insights could emerge from the process of implementation?

NOTE:   This section should not delve into idle speculation, opinion, or be formulated on the basis of unclear evidence . The purpose is to reflect upon gaps or understudied areas of the current literature and describe how your proposed research contributes to a new understanding of the research problem should the study be implemented as designed.

ANOTHER NOTE : This section is also where you describe any potential limitations to your proposed study. While it is impossible to highlight all potential limitations because the study has yet to be conducted, you still must tell the reader where and in what form impediments may arise and how you plan to address them.

VI.  Conclusion

The conclusion reiterates the importance or significance of your proposal and provides a brief summary of the entire study . This section should be only one or two paragraphs long, emphasizing why the research problem is worth investigating, why your research study is unique, and how it should advance existing knowledge.

Someone reading this section should come away with an understanding of:

  • Why the study should be done;
  • The specific purpose of the study and the research questions it attempts to answer;
  • The decision for why the research design and methods used where chosen over other options;
  • The potential implications emerging from your proposed study of the research problem; and
  • A sense of how your study fits within the broader scholarship about the research problem.

VII.  Citations

As with any scholarly research paper, you must cite the sources you used . In a standard research proposal, this section can take two forms, so consult with your professor about which one is preferred.

  • References -- a list of only the sources you actually used in creating your proposal.
  • Bibliography -- a list of everything you used in creating your proposal, along with additional citations to any key sources relevant to understanding the research problem.

In either case, this section should testify to the fact that you did enough preparatory work to ensure the project will complement and not just duplicate the efforts of other researchers. It demonstrates to the reader that you have a thorough understanding of prior research on the topic.

Most proposal formats have you start a new page and use the heading "References" or "Bibliography" centered at the top of the page. Cited works should always use a standard format that follows the writing style advised by the discipline of your course [e.g., education=APA; history=Chicago] or that is preferred by your professor. This section normally does not count towards the total page length of your research proposal.

How to write a research proposal

Drafting your first research proposal can be intimidating if you’ve never written (or seen) one before. Our grad students and admissions staff have some advice on making a start.

Before you make a start

Is it a requirement for your course.

For some research courses in sciences you’ll join an existing research group so you don’t need to write a full research proposal, just a list of the groups and/or supervisors you want to work with. You might be asked to write a personal statement instead, giving your research interests and experience.

Still, for many of our research courses — especially in humanities and social sciences — your research proposal is one of the most significant parts of your application. Grades and other evidence of your academic ability and potential are important, but even if you’re academically outstanding you’ll need to show you’re a good match for the department’s staff expertise and research interests. Every course page on the University website has detailed information on what you’ll need to send with your application, so make sure that’s your first step before you continue:

How to begin?

There isn’t one right way to start writing a research proposal. First of all, make sure you’ve read your course page - it’ll have instructions for what to include in your research proposal (as well as anything to avoid), how your department will assess it, and the required word count.

Start small, think big

A research degree is a big undertaking, and it’s normal to feel a bit overwhelmed at first. One way to start writing is to look back at the work you’ve already done. How does your proposed research build on this, and the other research in the area? One of the most important things you’ll be showing through your research project is that your project is achievable in the time available for your course, and that you’ve got (or know how you’ll get) the right skills and experience to pull off your plan.

They don’t expect you to be the expert, you just have to have good ideas. Be willing to challenge things and do something new. Rebecca (DPhil in Medieval and Modern Languages)

However, you don’t have to know everything - after all, you haven’t started yet! When reading your proposal, your department will be looking at the potential and originality of your research, and whether you have a solid understanding of the topic you’ve chosen.

But why Oxford?

An Admissions Officer at one of our colleges says that it’s important to explain why you’re applying to Oxford, and to your department in particular:

“Really, this is all dependent on a department. Look at the department in depth, and look at what they offer — how is it in line with your interests?”

Think about what you need to successfully execute your research plans and explain how Oxford’s academic facilities and community will support your work. Should I email a potential supervisor? Got an idea? If your course page says it’s alright to contact a supervisor (check the top of the How to apply section), it’s a good idea to get in touch with potential supervisors when you come to write your proposal.

You’re allowed to reach out to academics that you might be interested in supervising you. They can tell you if your research is something that we can support here, and how, and give you ideas. Admissions Officer 

You’ll find more information about the academics working in your area on your department’s website (follow the department links on your course page ). John (DPhil in Earth Sciences) emailed a professor who had the same research interests as he did.

“Luckily enough, he replied the next day and was keen to support me in the application.”

These discussions might help you to refine your ideas and your research proposal.

Layal says, “I discussed ideas with my supervisor — what’s feasible, what would be interesting. He supported me a lot with that, and I went away and wrote it.”

Don’t be afraid to ask for advice and feedback as you go. For example, you could reach out to a supervisor from your current or previous degree, or to friends who are also studying and could give you some honest feedback.

A research proposal is a roadmap that brings the researcher closer to the objectives, takes the research topic from a purely subjective mind, and manifests an objective plan. It shows us what steps we need to take to reach the objective, what questions we should answer, and how much time we need. It is a framework based on which you can perform your research in a well-organized and timely manner. In other words, by writing a research proposal, you get a map that shows the direction to the destination (answering the research question). If the proposal is poorly prepared, after spending a lot of energy and money, you may realize that the result of the research has nothing to do with the initial objective, and the study may end up nowhere. Therefore, writing the proposal shows that the researcher is aware of the proper research and can justify the significance of his/her idea.

Structure of a research proposal

A research proposal describes what you will investigate, why it’s important, and how you will conduct your research.

The format of a research proposal varies between fields, but most proposals will contain at least these elements:

Reference list

While the sections may vary, the overall objective is always the same. A research proposal serves as a blueprint and guide for your research plan, helping you get organised and feel confident in the path forward you choose to take.

Academics often have to write research proposals to get funding for their projects. As a student, you might have to write a research proposal as part of a grad school application , or prior to starting your thesis or dissertation .

In addition to helping you figure out what your research can look like, a proposal can also serve to demonstrate why your project is worth pursuing to a funder, educational institution, or supervisor.

Research proposal length

The length of a research proposal can vary quite a bit. A bachelor’s or master’s thesis proposal can be just a few pages, while proposals for PhD dissertations or research funding are usually much longer and more detailed. Your supervisor can help you determine the best length for your work.

One trick to get started is to think of your proposal’s structure as a shorter version of your thesis or dissertation , only without the results , conclusion and discussion sections.

Writing a research proposal can be quite challenging, but a good starting point could be to look at some examples. We’ve included a few for you below.

Like your dissertation or thesis, the proposal will usually have a title page that includes:

  • The proposed title of your project
  • Your supervisor’s name
  • Your institution and department

The first part of your proposal is the initial pitch for your project. Make sure it succinctly explains what you want to do and why.

Your introduction should:

  • Introduce your topic
  • Give necessary background and context
  • Outline your  problem statement  and research questions

To guide your introduction , include information about:

  • Who could have an interest in the topic (e.g., scientists, policymakers)
  • How much is already known about the topic
  • What is missing from this current knowledge
  • What new insights your research will contribute
  • Why you believe this research is worth doing

As you get started, it’s important to demonstrate that you’re familiar with the most important research on your topic. A strong literature review  shows your reader that your project has a solid foundation in existing knowledge or theory. It also shows that you’re not simply repeating what other people have already done or said, but rather using existing research as a jumping-off point for your own.

In this section, share exactly how your project will contribute to ongoing conversations in the field by:

  • Comparing and contrasting the main theories, methods, and debates
  • Examining the strengths and weaknesses of different approaches
  • Explaining how will you build on, challenge, or synthesise prior scholarship

Following the literature review, restate your main  objectives . This brings the focus back to your own project. Next, your research design or methodology section will describe your overall approach, and the practical steps you will take to answer your research questions.

To finish your proposal on a strong note, explore the potential implications of your research for your field. Emphasise again what you aim to contribute and why it matters.

For example, your results might have implications for:

  • Improving best practices
  • Informing policymaking decisions
  • Strengthening a theory or model
  • Challenging popular or scientific beliefs
  • Creating a basis for future research

Some institutions or funders require a detailed timeline of the project, asking you to forecast what you will do at each stage and how long it may take. While not always required, be sure to check the requirements of your project.

If you are applying for research funding, chances are you will have to include a detailed budget. This shows your estimates of how much each part of your project will cost.

Make sure to check what type of costs the funding body will agree to cover. For each item, include:

  • Cost : exactly how much money do you need?
  • Justification : why is this cost necessary to complete the research?
  • Source : how did you calculate the amount?

To determine your budget, think about:

  • Travel costs : do you need to go somewhere to collect your data? How will you get there, and how much time will you need? What will you do there (e.g., interviews, archival research)?
  • Materials : do you need access to any tools or technologies?
  • Help : do you need to hire any research assistants for the project? What will they do, and how much will you pay them?

Once you’ve decided on your research objectives , you need to explain them in your paper, at the end of your problem statement.

Keep your research objectives clear and concise, and use appropriate verbs to accurately convey the work that you will carry out for each one.

A research aim is a broad statement indicating the general purpose of your research project. It should appear in your introduction at the end of your problem statement , before your research objectives.

Research objectives are more specific than your research aim. They indicate the specific ways you’ll address the overarching aim.

A PhD, which is short for philosophiae doctor (doctor of philosophy in Latin), is the highest university degree that can be obtained. In a PhD, students spend 3–5 years writing a dissertation , which aims to make a significant, original contribution to current knowledge.

A PhD is intended to prepare students for a career as a researcher, whether that be in academia, the public sector, or the private sector.

A master’s is a 1- or 2-year graduate degree that can prepare you for a variety of careers.

How to write a research proposal?

Writing the proposal of a research work in the present era is a challenging task due to the constantly evolving trends in the qualitative research design and the need to incorporate medical advances into the methodology. The proposal is a detailed plan or ‘blueprint’ for the intended study, and once it is completed, the research project should flow smoothly. Even today, many of the proposals at post-graduate evaluation committees and application proposals for funding are substandard. A search was conducted with keywords such as research proposal, writing proposal and qualitative using search engines, namely, PubMed and Google Scholar, and an attempt has been made to provide broad guidelines for writing a scientifically appropriate research proposal.

INTRODUCTION

A clean, well-thought-out proposal forms the backbone for the research itself and hence becomes the most important step in the process of conduct of research.[ 1 ] The objective of preparing a research proposal would be to obtain approvals from various committees including ethics committee [details under ‘Research methodology II’ section [ Table 1 ] in this issue of IJA) and to request for grants. However, there are very few universally accepted guidelines for preparation of a good quality research proposal. A search was performed with keywords such as research proposal, funding, qualitative and writing proposals using search engines, namely, PubMed, Google Scholar and Scopus.

BASIC REQUIREMENTS OF A RESEARCH PROPOSAL

A proposal needs to show how your work fits into what is already known about the topic and what new paradigm will it add to the literature, while specifying the question that the research will answer, establishing its significance, and the implications of the answer.[ 2 ] The proposal must be capable of convincing the evaluation committee about the credibility, achievability, practicality and reproducibility (repeatability) of the research design.[ 3 ] Four categories of audience with different expectations may be present in the evaluation committees, namely academic colleagues, policy-makers, practitioners and lay audiences who evaluate the research proposal. Tips for preparation of a good research proposal include; ‘be practical, be persuasive, make broader links, aim for crystal clarity and plan before you write’. A researcher must be balanced, with a realistic understanding of what can be achieved. Being persuasive implies that researcher must be able to convince other researchers, research funding agencies, educational institutions and supervisors that the research is worth getting approval. The aim of the researcher should be clearly stated in simple language that describes the research in a way that non-specialists can comprehend, without use of jargons. The proposal must not only demonstrate that it is based on an intelligent understanding of the existing literature but also show that the writer has thought about the time needed to conduct each stage of the research.[ 4 , 5 ]

CONTENTS OF A RESEARCH PROPOSAL

The contents or formats of a research proposal vary depending on the requirements of evaluation committee and are generally provided by the evaluation committee or the institution.

In general, a cover page should contain the (i) title of the proposal, (ii) name and affiliation of the researcher (principal investigator) and co-investigators, (iii) institutional affiliation (degree of the investigator and the name of institution where the study will be performed), details of contact such as phone numbers, E-mail id's and lines for signatures of investigators.

The main contents of the proposal may be presented under the following headings: (i) introduction, (ii) review of literature, (iii) aims and objectives, (iv) research design and methods, (v) ethical considerations, (vi) budget, (vii) appendices and (viii) citations.[ 4 ]

Introduction

It is also sometimes termed as ‘need for study’ or ‘abstract’. Introduction is an initial pitch of an idea; it sets the scene and puts the research in context.[ 6 ] The introduction should be designed to create interest in the reader about the topic and proposal. It should convey to the reader, what you want to do, what necessitates the study and your passion for the topic.[ 7 ] Some questions that can be used to assess the significance of the study are: (i) Who has an interest in the domain of inquiry? (ii) What do we already know about the topic? (iii) What has not been answered adequately in previous research and practice? (iv) How will this research add to knowledge, practice and policy in this area? Some of the evaluation committees, expect the last two questions, elaborated under a separate heading of ‘background and significance’.[ 8 ] Introduction should also contain the hypothesis behind the research design. If hypothesis cannot be constructed, the line of inquiry to be used in the research must be indicated.

Review of literature

It refers to all sources of scientific evidence pertaining to the topic in interest. In the present era of digitalisation and easy accessibility, there is an enormous amount of relevant data available, making it a challenge for the researcher to include all of it in his/her review.[ 9 ] It is crucial to structure this section intelligently so that the reader can grasp the argument related to your study in relation to that of other researchers, while still demonstrating to your readers that your work is original and innovative. It is preferable to summarise each article in a paragraph, highlighting the details pertinent to the topic of interest. The progression of review can move from the more general to the more focused studies, or a historical progression can be used to develop the story, without making it exhaustive.[ 1 ] Literature should include supporting data, disagreements and controversies. Five ‘C's may be kept in mind while writing a literature review[ 10 ] [ Table 1 ].

Aims and objectives

The research purpose (or goal or aim) gives a broad indication of what the researcher wishes to achieve in the research. The hypothesis to be tested can be the aim of the study. The objectives related to parameters or tools used to achieve the aim are generally categorised as primary and secondary objectives.

Research design and method

The objective here is to convince the reader that the overall research design and methods of analysis will correctly address the research problem and to impress upon the reader that the methodology/sources chosen are appropriate for the specific topic. It should be unmistakably tied to the specific aims of your study.

In this section, the methods and sources used to conduct the research must be discussed, including specific references to sites, databases, key texts or authors that will be indispensable to the project. There should be specific mention about the methodological approaches to be undertaken to gather information, about the techniques to be used to analyse it and about the tests of external validity to which researcher is committed.[ 10 , 11 ]

The components of this section include the following:[ 4 ]

Population and sample

Population refers to all the elements (individuals, objects or substances) that meet certain criteria for inclusion in a given universe,[ 12 ] and sample refers to subset of population which meets the inclusion criteria for enrolment into the study. The inclusion and exclusion criteria should be clearly defined. The details pertaining to sample size are discussed in the article “Sample size calculation: Basic priniciples” published in this issue of IJA.

Data collection

The researcher is expected to give a detailed account of the methodology adopted for collection of data, which include the time frame required for the research. The methodology should be tested for its validity and ensure that, in pursuit of achieving the results, the participant's life is not jeopardised. The author should anticipate and acknowledge any potential barrier and pitfall in carrying out the research design and explain plans to address them, thereby avoiding lacunae due to incomplete data collection. If the researcher is planning to acquire data through interviews or questionnaires, copy of the questions used for the same should be attached as an annexure with the proposal.

Rigor (soundness of the research)

This addresses the strength of the research with respect to its neutrality, consistency and applicability. Rigor must be reflected throughout the proposal.

It refers to the robustness of a research method against bias. The author should convey the measures taken to avoid bias, viz. blinding and randomisation, in an elaborate way, thus ensuring that the result obtained from the adopted method is purely as chance and not influenced by other confounding variables.

Consistency

Consistency considers whether the findings will be consistent if the inquiry was replicated with the same participants and in a similar context. This can be achieved by adopting standard and universally accepted methods and scales.

Applicability

Applicability refers to the degree to which the findings can be applied to different contexts and groups.[ 13 ]

Data analysis

This section deals with the reduction and reconstruction of data and its analysis including sample size calculation. The researcher is expected to explain the steps adopted for coding and sorting the data obtained. Various tests to be used to analyse the data for its robustness, significance should be clearly stated. Author should also mention the names of statistician and suitable software which will be used in due course of data analysis and their contribution to data analysis and sample calculation.[ 9 ]

Ethical considerations

Medical research introduces special moral and ethical problems that are not usually encountered by other researchers during data collection, and hence, the researcher should take special care in ensuring that ethical standards are met. Ethical considerations refer to the protection of the participants' rights (right to self-determination, right to privacy, right to autonomy and confidentiality, right to fair treatment and right to protection from discomfort and harm), obtaining informed consent and the institutional review process (ethical approval). The researcher needs to provide adequate information on each of these aspects.

Informed consent needs to be obtained from the participants (details discussed in further chapters), as well as the research site and the relevant authorities.

When the researcher prepares a research budget, he/she should predict and cost all aspects of the research and then add an additional allowance for unpredictable disasters, delays and rising costs. All items in the budget should be justified.

Appendices are documents that support the proposal and application. The appendices will be specific for each proposal but documents that are usually required include informed consent form, supporting documents, questionnaires, measurement tools and patient information of the study in layman's language.

As with any scholarly research paper, you must cite the sources you used in composing your proposal. Although the words ‘references and bibliography’ are different, they are used interchangeably. It refers to all references cited in the research proposal.

Successful, qualitative research proposals should communicate the researcher's knowledge of the field and method and convey the emergent nature of the qualitative design. The proposal should follow a discernible logic from the introduction to presentation of the appendices.

Integrating a variety of sources, from academic journals to books, you should weave a narrative that supports the premise of your study, emphasizing its necessity and potential impact.

Research Design and Methods

This section is where you detail how you plan to answer your research question. Transparently discuss your research design and methodology, whether it be qualitative, quantitative, or a mixture of both. 

Describe the data collection methods you intend to use, along with your analysis plan, giving special attention to the reproducibility and ethical considerations of your approach. 

Your goal is to convince the reviewers of the soundness of your research methodology and your competence in executing it.

Implications and Contribution to the Field

Explaining the significance of your research, this part of the proposal should articulate how your study will contribute to the existing body of knowledge. 

Discuss the potential implications of your findings for the field and how they might influence future research, policy, or practice. 

This is your argument for the relevance and necessity of your study, highlighting the unique insights it promises to offer.

Budget and Resources

As pragmatic as it is essential, the budget and resources section details the financial aspects of your proposed research. 

It is important to provide a comprehensive budget that justifies each expense, whether it’s for equipment, personnel, travel, or other costs. 

Be realistic and transparent, ensuring that your budget aligns with the scope of your project. Additionally, listing the resources you have and those you need demonstrates thorough planning and feasibility.

Timeline and Milestones

A well-structured timeline not only helps in organizing your research but also reassures funders of your project’s timeliness. 

Break down the research process into phases, assigning realistic deadlines to each. Including milestones allows for a clearer understanding of the project’s progress, making this section a crucial aspect of your proposal.

Ethical Considerations

Ethical considerations are paramount in research. This section of the proposal should address potential ethical issues and describe how they will be managed. 

If applicable, mention the process of obtaining Institutional Review Board (IRB) approval. A thoughtful discussion of ethics not only highlights the integrity of your research design but also builds trust with your reviewers.

Though not always necessary, appendices can be included to provide additional supporting information that is too detailed for the main body of the proposal. This might include charts, graphs, letters of support, or any other documents that strengthen your proposal.

Crafting a compelling research proposal is a meticulous process. Tailoring your proposal to echo the priorities of the funding agency can significantly increase your chances of success. 

Furthermore, ensuring that your writing is clear, jargon-free, and meticulously proofread can make your proposal more accessible and appealing. Remember, clarity and coherence are your best tools for conveying the value of your research.

My Modest Proposal: A “Gap Year” For GenAI

My colleague Amy Stapleton provides some very useful perspectives on vendor efforts to incorporate GenAI into enterprise IT infrastructure in this post: “Insights and Highlights from Enterprise Connect 2024” . My take-away from Amy’s piece is that there is “a discernible gap between the promises of AI and the practical realities businesses face when deploying these technologies.” In other words, vendors are offering solutions that enterprise buyers are not yet ready to assimilate.

The Product of Technologies Past

The term “GenAI” refers specifically to a type of Artificial Intelligence (AI) that is capable of generating new content, such as text, images, audio, or even video, rather than simply analyzing or processing existing data. It traces its roots and is powered by technologies that include Machine Learning and Neural Networking technologies that date back to the 1960s. It has been turbocharged in recent years by the introduction of faster processing resources capable of supporting new learning techniques, like Deep Learning, Generative Adversarial Networks and Variational Autoencoders. But we don’t need to know these terms. We only need to observe that systems can generate content in a very human-like way.

In the world of customer care and CX, the people responsible for speech-enabling interactive voice response systems (IVRs) had a preview of what it takes to train machines to understand natural language input accurately and fine-tune the responses to be compliant with company or industry requirements, consistently and at scale. Today’s solutions pretty much eliminate the need to tag natural language input based on “intent.” The “P” in “GPT” stands for “Pre-trained” and that means companies can enjoy significant savings in time and labor costs by leveraging the power of pre-training to accurately understand natural language inputs.

The “T” in “GPT” stands for “Transformer” and it refers to an architecture for neural networks that was introduced in 2017. Rather than old-fashioned word-spotting or pattern detection, it learns dependencies between elements in a sequence. You’ve probably heard it referred to as “auto-complete on steroids” or something like that because it is basically determining what the next word in a sentence is going to be. This enables a system to generate convincing human-like output that, by design, is not grounded in the real-world. So-called “hallucinations” are therefore more of a feature – not a bug – associated with this approach.

Building Up to the Gap Year

GenAI is the precocious home-schooled student that has demonstrated the uncanny ability to learn basic facts, math skills, programming acumen, and then “test well” when exam time comes around. These skills propel the prodigy to an early graduation and a wide world of opportunities, as well as high expectations for success, and riches. With a penchant for attracting attention on every social medium and in the popular press, the world is, effectively, monitoring the student’s progress, as well as pratfalls.

All the attention has made matriculation to the so-called “next level” difficult. Expectations are high, but real-world implementations are modest. Demos promise automated personal assistants that can book travel, schedule meetings, write promotional copy and build compelling PowerPoint presentations. Reality brings us meeting transcriptions, call summaries, and glorified FAQs. It has become increasingly clear that GenAI will benefit from a “gap year” to discover more about its potential, achieve maturity and gain acceptance in the real world.

Whose Gap Year Is It?

GenAI needs time to find itself. Machine Learning is not a thing. It is a long, ongoing process which has been accelerated by the advent of new models, architectures and hardware. Giving GenAI its gap year provides “us humans” with additional time to define our own roles and responsibilities vis a vis the new tech. At a minimum, these include determining:

  • How to orchestrate integration of GenAI with existing workflows (both for customers and employees),
  • What domain-specific or company-specific information and knowledge should be used for training the GenAI or for augmenting its reference data, a la RAG (Retrieval Augmented Generation), and
  • Where and how to review and place guardrails on the content of responses that a GenAI-informed bot will provide both to customers and employees.

Because the LLMs that fuel GenAI are constantly learning, and new models are introduced in rapid-fire manner, we humans feel pressured to move quickly in our efforts to assimilate them. Failure equates to… well… failure. Giving GenAI a gap year to find itself and refine its world view gives the humans that have to define its role in the enterprise additional time to address all levels of change management required to insure success. It provides time to address the other gap that plagues enterprises in the time of GenAI, the one between the solutions that leading CCaaS and UCaaS infrastructure providers offer and those that companies feel comfortable putting into practice.

One thing is for certain, human intervention is a prerequisite. We have a responsibility to oversee the training process (curate training data) and we have to be there to review output for the foreseeable future. In the long run, GenAI will have positive impacts on profitability, employee efficiency and customer experience. Instead of predicting yet-another decline into AI winter, we have a chance to define realizable goals for a well-trained GenAI, as well as the live customers and employees who stand to benefit from its maturation.

Postscript: Reality Check

My idea of a gap year is a thought experiment, rather than a prescription. AI thought leaders have already divided into two camps: “Believers” and “Skeptics”. Members of the former advocate “full-speed ahead” on a path toward autonomous AI assistants. Those in the latter will continue to raise issues about ethics, transparency, privacy, bias and compliance. Solution providers fall squarely in the first camp and they will continue to introduce new features, functions and services built on the latest release of the lates LLM or their smaller cousins, domain-specific language models (DSLMs). Enterprise decision makers, along with many journalists and analysts have joined the Skeptics, collectively chronicling failures and predicting an impending AI Winter.

Recognizing that GenAI’s development will not come to a halt during the gap year, I encourage a third way. Believers and Skeptics work together to ensure that GenAI comes of age complete with the proper guardrails and opportunities for human intervention. Both need to recognize that the precocious student is destined to accomplish great things when it finally lives up to its potential. We, the prospective beneficiaries, should be monitoring GenAI’s progress and influence its development while helping it to find gainful employment.

  • Initial contact should be with Director of Grants & Innovation, Geneva Aragon-Allen.
  • This should coincide or lead to communication with the Director or Chair.
  • A request for proposal (RFP) should be shared with the Director of Grants & Innovation, and the Director/Chair if the external agency has already published it.
  • The Associate Dean will work collaboratively with the Director of Grants & Innovation, the Director/Chair, and the Dean to ensure procedures are followed.
  • The Director of Finance and Administration, Lyn Jackson, will also serve to consult and advise on the budget.

Initial Meeting

What is the purpose of this initial meeting?

  • To get the conversation started, brainstorm and discuss resources. 
  • To consider what is known and what is unknown, and support with information sharing.
  • To support the forward momentum of the planning. 

What should faculty prepare for the initial meeting with the Director of Grants & Innovation?

  • Project Outline: Aim for a working title and drafted description to highlight known goals.
  • Estimated Budget:  A general idea of the funding needs – does not need to be itemized initially.
  • Projected Duration: An idea of what it is you would like to do, who it serves, possible length of the project (e.g. 12 months, 24 months), sustainability, and growth.

It is important to contact the Director of Grants & Innovation even if the above three points are not clear, she is here to discuss and help you consider your ideas and options.

 Important Deadlines

Please note that project proposals and budgets should be shared with the Director of Grants & Innovation as early as possible to facilitate a collaborative working process. It is understandable that in some instances opportunities may become known later, but in all cases, the Dean's office and ORS must complete a full and comprehensive review prior to submission to the sponsor, therefore proposals are required to meet the following internal deadlines:

Budget Submission Deadlines

  • The Budget must be submitted to the Dean no less than 10 Days before the sponsor deadline. This will be done in collaboration with the Director of Grants & Innovation and the Associate Dean.  The budget must include any cost share, teaching buyouts, teaching assistants, and subcontractors.
  • The budget must be submitted to ORS no less than 5 Days before the sponsor deadline. It will then be reviewed and finalized by ORS.

Completed Proposal Submission Deadlines

  • All documents required for submission such as cover letter, abstract (or project summary), project narrative, budget, budget justification, biographical sketches of key personnel, current and pending support, facilities and equipment, letters of support, etc.)
  • In addition, a complete submission will include applicable supporting documents (e.g., cost share documentation, subcontract documentation, compliance certifications, etc.)

Important NOTE for LIMITED SUBMISSIONS

What is a limited submission.

Many funding agencies issue requests for proposals that limit the number of applications they will accept from an institution. Texas Tech University has established a process to identify limited submission opportunities and internally select applicants to submit full proposals in response to a particular program based on the sponsor's restrictions.

Before speaking with ORDC on limited submissions or ORS regarding the grant in general, the faculty must first contact Geneva Aragon-Allen to make her aware of the interest and potential intent. Procedure & Timeline for Limited Submissions

  • Email the Director of Grants & Innovation to express interest and potential intent to submit.
  • Set up a meeting after step 1 – aim for a 3-day turnaround period.
  • The Deans Office will be made aware of all faculty interested in a limited submission to ensure all interested parties are known. If more than one interested party is interested in a limited submission, the Dean will weigh in on prioritization and timing for the projects.

  • To ensure all are informed and up to date on details and specifics early on towards supporting proposal submissions.
  • To act as liaison between faculty and the Office of Research & Innovation Services (ORS). Please note that ORS is not an official advisory body, and will need correct and agreed-upon information from their Department, the Dean's Office, and any other collaborators within the University or outside of the University.
  • To support and streamline aspects of drafting the budget.
