How many times have you sat through a poorly designed business presentation that was dull, cluttered, and distracting? Probably way too many. Even though we all loathe a boring presentation, when it comes time to make our own, do we really do any better?

The good news is you don’t have to be a professional designer to make professional presentations. We’ve put together a few simple guidelines you can follow to create a beautifully assembled deck.

We’ll walk you through some slide design tips, show you some tricks to maximize your PowerPoint skills, and give you everything you need to look really good next time you’re up in front of a crowd.

And, while PowerPoint remains one of the biggest names in presentation software, many of these design elements and principles work in Google Slides as well.

Let’s dive right in and make sure your audience isn’t yawning through your entire presentation.

1. Use Layout to Your Advantage

Layout is one of the most powerful visual elements in design, and it’s a simple, effective way to control the flow and visual hierarchy of information.

For example, most Western languages read left to right, top to bottom. Knowing this natural reading order, you can direct people’s eyes in a deliberate way to certain key parts of a slide that you want to emphasize.

You can also guide your audience with simple tweaks to the layout. Use text size and alternating fonts or colors to distinguish headlines from body text.

Placement also matters. There are many unorthodox ways to structure a slide, but most audience members will have to take a few beats to organize the information in their head—that’s precious time better spent listening to your delivery and retaining information.

Try to structure your slides more like this:

2. No Sentences

This is one of the most critical slide design tips. Slides are simplified, visual notecards that capture and reinforce main ideas, not complete thoughts.

As the speaker, you should be delivering most of the content and information, not putting it all on the slides for everyone to read (and probably ignore). If your audience is reading your presentation instead of listening to you deliver it, your message has lost its effectiveness.

Pare down your core message and use keywords to convey it. Try to avoid complete sentences unless you’re quoting someone or something.

Stick with this:

3. Follow the 6×6 Rule

One of the cardinal sins of a bad PowerPoint is cramming too many details and ideas on one slide, which makes it difficult for people to retain information. Leaving lots of “white space” on a slide helps people focus on your key points.

Try using the 6×6 rule to keep your content concise and clean looking. The 6×6 rule means a maximum of six bullet points per slide and six words per bullet. In fact, some people even say you should never have more than six words per slide!

Just watch out for “orphans” (when the last word of a sentence/phrase spills over to the next line). This looks cluttered. Either fit it onto one line or add another word to the second line.

4. Keep the Colors Simple

Stick to simple light and dark colors and a defined color palette for visual consistency. Exceptionally bright text can cause eye fatigue, so use those colors sparingly. Dark text on a light background or light text on a dark background will work well. Also avoid intense gradients, which can make text hard to read.

If you’re presenting on behalf of your brand, check what your company’s brand guidelines are. Companies often have a primary brand color and a secondary brand color , and it’s a good idea to use them in your presentation to align with your company’s brand identity and style.

No matter what color palette or combination you choose, you want to keep the colors of your PowerPoint presentation simple and easy to read, like this:

5. Use Sans-Serif Fonts

Traditionally, serif fonts (Times New Roman, Garamond, Bookman) are best for printed pages, and sans-serif fonts (Helvetica, Tahoma, Verdana) are easier to read on screens.

Try to stick with one font, or choose two at the most. Fonts have very different personalities and emotional impacts, so make sure your font matches the tone, purpose, and content of your presentation.

6. Stick to 30pt Font or Larger

Many experts agree that your font size for a PowerPoint presentation should be at least 30pt. Sticking to this guideline ensures your text is readable. It also forces you, due to space limitations, to explain your message efficiently and include only the most important points. .

7. Avoid Overstyling the Text

Three of the easiest and most effective ways to draw attention to text are:

  • A change in color

Our eyes are naturally drawn to things that stand out, but use these changes sparingly. Overstyling can make the slide look busy and distracting.

8. Choose the Right Images

The images you choose for your presentation are perhaps as important as the message. You want images that not only support the message, but also elevate it—a rare accomplishment in the often dry world of PowerPoint.

But, what is the right image? We’ll be honest. There’s no direct answer to this conceptual, almost mystical subject, but we can break down some strategies for approaching image selection that will help you curate your next presentation.

The ideal presentation images are:

  • Inspirational

These may seem like vague qualities, but the general idea is to go beyond the literal. Think about the symbols in an image and the story they tell. Think about the colors and composition in an image and the distinct mood they set for your presentation.

With this approach, you can get creative in your hunt for relatable, authentic, and inspirational images. Here are some more handy guidelines for choosing great images.

Illustrative, Not Generic

So, the slide in question is about collaborating as a team. Naturally, you look for images of people meeting in a boardroom, right?

While it’s perfectly fine to go super literal, sometimes these images fall flat—what’s literal doesn’t necessarily connect to your audience emotionally. Will they really respond to generic images of people who aren’t them meeting in a boardroom?

In the absence of a photo of your actual team—or any other image that directly illustrates the subject at hand—look for images of convincing realism and humanity that capture the idea of your message.

Doing so connects with viewers, allowing them to connect with your message.

The image above can be interpreted in many ways. But, when we apply it to slide layout ideas about collaboration, the meaning is clear.

It doesn’t hurt that there’s a nice setting and good photography, to boot.

Supportive, Not Distracting

Now that we’ve told you to get creative with your image selection, the next lesson is to rein that in. While there are infinite choices of imagery out there, there’s a limit to what makes sense in your presentation.

Let’s say you’re giving an IT presentation to new employees. You might think that image of two dogs snuggling by a fire is relatable, authentic, and inspirational, but does it really say “data management” to your audience?

To find the best supporting images, try searching terms on the periphery of your actual message. You’ll find images that complement your message rather than distract from it.

In the IT presentation example, instead of “data connections” or another literal term, try the closely related “traffic” or “connectivity.” This will bring up images outside of tech, but relative to the idea of how things move.

Inspiring and Engaging

There’s a widespread misconception that business presentations are just about delivering information. Well, they’re not. In fact, a great presentation is inspirational. We don’t mean that your audience should be itching to paint a masterpiece when they’re done. In this case, inspiration is about engagement.

Is your audience asking themselves questions? Are they coming up with new ideas? Are they remembering key information to tap into later? You’ll drive a lot of this engagement with your actual delivery, but unexpected images can play a role, as well.

When you use more abstract or aspirational images, your audience will have room to make their own connections. This not only means they’re paying attention, but they’re also engaging with and retaining your message.

To find the right abstract or unconventional imagery, search terms related to the tone of the presentation. This may include images with different perspectives like overhead shots and aerials, long exposures taken over a period of time, nature photos , colorful markets , and so on.

The big idea here is akin to including an image of your adorable dog making a goofy face at the end of an earnings meeting. It leaves an audience with a good, human feeling after you just packed their brains with data.

Use that concept of pleasant surprise when you’re selecting images for your presentation.

9. Editing PowerPoint Images

Though you can drag-and-drop images into PowerPoint, you can control the resolution displayed within the file. All of your PowerPoint slide layout ideas should get the same treatment to be equal in size.

Simply click File > Compress Pictures in the main application menu.

If your presentation file is big and will only be viewed online, you can take it down to On-screen , then check the Apply to: All pictures in this file , and rest assured the quality will be uniform.

This resolution is probably fine for proofing over email, but too low for your presentation layout ideas. For higher res in printed form, try the Print setting, which at 220 PPI is extremely good quality.

For large-screens such as projection, use the HD setting, since enlarging to that scale will show any deficiencies in resolution. Low resolution can not only distract from the message, but it looks low-quality and that reflects on the presenter.

If size is no issue for you, use High Fidelity (maximum PPI), and only reduce if the file size gives your computer problems.

The image quality really begins when you add the images to the presentation file. Use the highest quality images you can, then let PowerPoint scale the resolution down for you, reducing the excess when set to HD or lower.

Resizing, Editing, and Adding Effects to Images in PowerPoint

PowerPoint comes with an arsenal of tools to work with your images. When a picture is selected, the confusingly named Picture Format menu is activated in the top menu bar, and Format Picture is opened on the right side of the app window.

In the Format Picture menu (on the right) are four sections, and each of these sections expand to show their options by clicking the arrows by the name:

  • Fill & Line (paint bucket icon): Contains options for the box’s colors, patterns, gradients, and background fills, along with options for its outline.
  • Effects (pentagon icon): Contains Shadow, Reflection, Glow, Soft Edges, 3-D Format and Rotation, and Artistic Effects.
  • Size & Properties (dimensional icon): Size, Position, and Text Box allow you to control the physical size and placement of the picture or text boxes.
  • Picture (mountain icon): Picture Corrections, Colors, and Transparency give you control over how the image looks. Under Crop, you can change the size of the box containing the picture, instead of the entire picture itself as in Size & Properties above.

The menu at the top is more expansive, containing menu presets for Corrections, Color, Effects, Animation, and a lot more. This section is where you can crop more precisely than just choosing the dimensions from the Picture pane on the right.

Cropping Images in PowerPoint

The simple way to crop an image is to use the Picture pane under the Format Picture menu on the right side of the window. Use the Picture Position controls to move the picture inside its box, or use the Crop position controls to manipulate the box’s dimensions.

To exert more advanced control, or use special shapes, select the picture you want to crop, then click the Picture Format in the top menu to activate it.

Hit the Crop button, then use the controls on the picture’s box to size by eye. Or, click the arrow to show more options, including changing the shape of the box (for more creative looks) and using preset aspect ratios for a more uniform presentation of images.

When it comes to PowerPoint presentation design, there's no shortage of avenues you can take.

In this blog post, I’m sharing some of my favorite PowerPoint tips and templates to help you nail your next presentation.

What makes a good PowerPoint presentation?

In my opinion, a great PowerPoint presentation gets the point across succinctly while using a design that doesn't detract from it.

Here are some of the elements I like to keep in mind when I’m building my own.

1. Minimal Animations and Transitions

Believe it or not, animations and transitions can take away from your PowerPoint presentation. Why? Well, they distract from the content you worked so hard on.

A good PowerPoint presentation keeps the focus on your argument by keeping animations and transitions to a minimum. I suggest using them tastefully and sparingly to emphasize a point or bring attention to a certain part of an image.

2. Cohesive Color Palette

I like to refresh my memory on color theory when creating a new PowerPoint presentation.

A cohesive color palette uses complementary and analogous colors to draw the audience’s attention and help emphasize certain aspects at the right time.

It‘s impossible for me to tell you the specific design ideas you should go after in your next PowerPoint, because, well, I don’t know what the goal of your presentation is.

Luckily, new versions of PowerPoint actually suggest ideas for you based on the content you're presenting. This can help you keep up with the latest trends in presentation design .

PowerPoint is filled with interesting boilerplate designs you can start with. To find these suggestions, open PowerPoint and click the “Design” tab in your top navigation bar. Then, on the far right side, you'll see the following choices:

This simplistic presentation example employs several different colors and font weights, but instead of coming off as disconnected, the varied colors work with one another to create contrast and call out specific concepts.

What I like: The big, bold numbers help set the reader's expectations, as they clearly signify how far along the viewer is in the list of tips.

10. “Pixar's 22 Rules to Phenomenal Storytelling,” Gavin McMahon

This presentation by Gavin McMahon features color in all the right places. While each of the background images boasts a bright, spotlight-like design, all the characters are intentionally blacked out.

What I like: This helps keep the focus on the tips, while still incorporating visuals. Not to mention, it's still easy for me to identify each character without the details. (I found you on slide eight, Nemo.)

11. “Facebook Engagement and Activity Report,” We Are Social

Here's another great example of data visualization in the wild.

What I like: Rather than displaying numbers and statistics straight up, this presentation calls upon interesting, colorful graphs, and charts to present the information in a way that just makes sense.

12. “The GaryVee Content Model,” Gary Vaynerchuk

This wouldn‘t be a true Gary Vaynerchuk presentation if it wasn’t a little loud, am I right?

What I like: Aside from the fact that I love the eye-catching, bright yellow background, Vaynerchuk does a great job of incorporating screenshots on each slide to create a visual tutorial that coincides with the tips. He also does a great job including a visual table of contents that shows your progress as you go .

13. “20 Tweetable Quotes to Inspire Marketing & Design Creative Genius,” IMPACT Branding & Design

We‘ve all seen our fair share of quote-chronicling presentations but that isn’t to say they were all done well. Often the background images are poor quality, the text is too small, or there isn't enough contrast.

Well, this professional presentation from IMPACT Branding & Design suffers from none of said challenges.

What I like: The colorful filters over each background image create just enough contrast for the quotes to stand out.

14. “The Great State of Design,” Stacy Kvernmo

This presentation offers up a lot of information in a way that doesn't feel overwhelming.

What I like: The contrasting colors create visual interest and “pop,” and the comic images (slides 6 through 12) are used to make the information seem less buttoned-up and overwhelming.

15. “Clickbait: A Guide To Writing Un-Ignorable Headlines,” Ethos3

Not going to lie, it was the title that convinced me to click through to this presentation but the awesome design kept me there once I arrived.

What I like: This simple design adheres to a consistent color pattern and leverages bullet points and varied fonts to break up the text nicely.

16. “Digital Transformation in 50 Soundbites,” Julie Dodd

This design highlights a great alternative to the “text-over-image” display we've grown used to seeing.

What I like: By leveraging a split-screen approach to each presentation slide, Julie Dodd was able to serve up a clean, legible quote without sacrificing the power of a strong visual.

17. “Fix Your Really Bad PowerPoint,” Slide Comet

When you‘re creating a PowerPoint about how everyone’s PowerPoints stink, yours had better be terrific. The one above, based on the ebook by Seth Godin, keeps it simple without boring its audience.

What I like: Its clever combinations of fonts, together with consistent color across each slide, ensure you're neither overwhelmed nor unengaged.

18. “How Google Works,” Eric Schmidt

Simple, clever doodles tell the story of Google in a fun and creative way. This presentation reads almost like a storybook, making it easy to move from one slide to the next.

What I like: This uncluttered approach provides viewers with an easy-to-understand explanation of a complicated topic.

19. “What Really Differentiates the Best Content Marketers From The Rest,” Ross Simmonds

Let‘s be honest: These graphics are hard not to love. I especially appreciate the author’s cartoonified self-portrait that closes out the presentation. Well played, Ross Simmonds.

What I like: Rather than employing the same old stock photos, this unique design serves as a refreshing way to present information that's both valuable and fun.

20. “Be A Great Product Leader,” Adam Nash

This presentation by Adam Nash immediately draws attention by putting the company's logo first — a great move if your company is well known.

What I like: He uses popular images, such as ones of Megatron and Pinocchio, to drive his points home. In the same way, you can take advantage of popular images and media to keep your audience engaged.

A strong presentation is so much more than information pasted onto a series of slides with fancy backgrounds. Whether you’re pitching an idea, reporting market research, or sharing something else, a great presentation can give you a competitive advantage, and be a powerful tool when aiming to persuade, educate, or inspire others. Here are some unique elements that make a presentation stand out.

  • Fonts: Sans Serif fonts such as Helvetica or Arial are preferred for their clean lines, which make them easy to digest at various sizes and distances. Limit the number of font styles to two: one for headings and another for body text, to avoid visual confusion or distractions.
  • Colors: Colors can evoke emotions and highlight critical points, but their overuse can lead to a cluttered and confusing presentation. A limited palette of two to three main colors, complemented by a simple background, can help you draw attention to key elements without overwhelming the audience.
  • Pictures: Pictures can communicate complex ideas quickly and memorably but choosing the right images is key. Images or pictures should be big (perhaps 20-25% of the page), bold, and have a clear purpose that complements the slide’s text.
  • Layout: Don’t overcrowd your slides with too much information. When in doubt, adhere to the principle of simplicity, and aim for a clean and uncluttered layout with plenty of white space around text and images. Think phrases and bullets, not sentences.

Designers are working across the color wheel for gradients that have more of a rainbow effect throughout the design, even if individual gradients are more subtle.

What you are likely to see is a variety of different gradients throughout a project with different colors, but maybe a dominant color to carry the theme. Use this for presentation designs that are meant to be more fun, lighter, and highly engaging.

What works here is the element of contrast. A darker blue with a brighter yellow creates an almost yin and yang effect with color. The only real caution is to take care with yellow on a white or light background with fonts or other light elements.

While the above color scheme also includes a hint of yellow for accents, the teal color option is strong enough to stand alone. You could consider a tint or tone for a mono-look. It also pairs amazingly well with black-and-white images.

It may not work so well for more traditional brands or those that are more conservative with their slide designs.

This purple and emerald color paired with black with white text looks amazing. It is sleek, modern, and has high visual appeal without having to use a lot of images.

This works best for digital presentations when you don’t have concerns about room lighting to worry about.

If you aren’t ready to jump into dark mode on your own, the Harber template above is a great start with nice color, gradients, and interesting shapes throughout the slide types.

16. Navy and Lime

A navy and lime combination is a modern take on colorful neutrals that are anything but boring.

These colors have a nice balance with a white or light background and are fairly easy to use. With so many brands already using blue in their base color palette, this is an option that works and is an extension of existing elements for many brands. (Use your blue and add the lime to it.)

Also, with this color combination, the idea of a minimal overall slide structure is nice so that the power of the colors and impact comes through. They work beside images in full color or black and white.

17. Modern Blue

When you aren’t planning to use brand colors – or maybe as a startup or independent contractor so you don’t have them yet – a modern color combination can add the right flair to a PowerPoint presentation.

While at first pass, black and yellow might seem like a harsh color combination, it can set the tone for a project that should emanate strength. This PowerPoint color scheme softens the harshness of the duo with a blackish color, that’s grayer and has a softer feel.

Pair this combo on a light background or with black and white images for a stylish, mod look.

19. Orange and White

A bright color can soften the harshness of a stark PowerPoint design. Especially when used for larger portions of the content area, such as background swatches or to help accent particular elements.

The Sprint template makes great use of color with a simple palette – orange and white with black text – but has slide ideas that incorporate the color throughout for something with a more “designed” look to it. (And if you aren’t a fan of the orange, change the color for use with this template to keep the modern feel.)

Purple presentations are in. The color, which was once avoided by many in design projects, has flourished with recent color trends.

Because more funky, bright colors are popular, a presentation with a purple focus can be acceptable for a variety of uses. The use in Batagor template has a modern design with a deep header in the featured color, which works best with images that aren’t incredibly bold in terms of color.

21. Blue-Green Gradients

Another trending item in color is the use of gradients. This trend can be applied to PowerPOint presentations as well.

Use a blue-to-green gradient for a soft and harmonious color scheme that won’t get in the way of content. Use each hue alone for accents and informational divots throughout the presentation design.

Minimalism is a design trend that never goes away. A black-and-white (or gray) presentation screams class and sophistication.

It can also be easy to work with when you don’t want the color to get in the way of your message. And if a design can stand alone without color, you know it works.

23. Reds and Black

If you are designing a presentation for viewing on screens, such as desktops or tablets, a dark background with bright color accents and white text can work well. (This combination gets a lot trickier on projector displays.)

While reverse text and red aren’t always recommended, you can see from the Nova template that they can be a stunning combination. But note, this modern color scheme is best for specific content and audiences.

24. Blue and Pink

The unexpected combo sets the tone with a strong, trustworthy blue and adds softness with the paler pink. The colors work equally well with white or darker backgrounds.

Blue and green accents can help a black or white background come to life in a presentation template. The colors here can work with either background style, based on how you plan to display your presentation.

What’s nice about these colors is that they are pretty neutral – since both are found in nature – and can be used with ease for design or text elements in a PowerPoint color scheme.

26. Beige and Gray

If you are looking for a softer color palette, consider beige and gray. These hues can work well on screens or projected, making them a versatile option.

The nice thing about such a neutral palette is that it gives content plenty of room, so that will be the true focus of the presentation.

27. Tints and Tones

While the purplish blue-gray in the Business PowerPoint Presentation template is stunning, it represents a greater trend in presentation design. Pick a color – maybe your dominant brand color – and use tints and tones for the presentation color scheme.

By mixing the color with white or black and gray, you’ll end up with a stunning set of color variations that match your messaging.

28. Bold Rainbow

While most of the color schemes featured here only include a color or two, bright color schemes with wider color variations are trending.

This distinct “rainbow style” can be somewhat difficult to use without rules for each color. Proceed with caution.

29. Bright Neutrals

Lime green is the brightest “neutral” you might ever use. A fun palette that’s versatile can be a solid foundation for a color palette.

It works exceptionally well in the Rouka PowerPoint template thanks to a pairing with a subtle gray background. Using a light, but not white, background can be great for screens and projected presentations because it takes away some of the harshness of a white background. The subtle coloring is easier on the eyes for reading and viewing.

30. Rich Browns

Browns aren’t often what comes to mind when thinking of building a color scheme, but rich browns can be a modern option.

Pair a neutral beige-brown with a darker color for an interesting contrast that works with almost any style of content.

31. Mint Green

Go super trendy with a modern and streamlined palette of mint green and gray on white. While this combination can have a minimal feel, it also adds a touch of funkiness to the design.

Add another hint of color – think orange – for extra accents.

Text Styles in PowerPoint – Here’s How to Get Them!

Wait, what! There are text styles in PowerPoint? I’m sure that’s what you might be asking when you see the title of this article. Although the option is not available in PowerPoint by default, there is a workaround to fix this problem!

Text styles are not present in PowerPoint by default. However, you can create your own text style. Open a text placeholder with a bullet list in the slide master, and customize the formatting of text at each bullet level. Then, go back to the normal view and increase indent to apply the text style.

In this article, I’ll be sharing with you an ingenious way in which you can create a text style for your PowerPoint presentation and easily apply it to your slides.

Needless to say, such a method is useful only when you have a ton of text on your slides – you know the kind that you have to squint to read!

[Please note – I don’t recommend creating text-heavy presentations. But if you have to, then this article can help you make it look better!]

So, without any further delay, let’s get started!

1. How to Create a Custom Text Style in PowerPoint

In PowerPoint, you don’t have an option to choose the heading styles and paragraph styles just the way you do in Microsoft Word. And, there is a good reason for that. PowerPoint is designed to be a visual tool and not a tool to show a ton of text!

That said, there are situations where you simply can not avoid having a lot of text on your presentation. In such a scenario, you will need to create your own custom text style in PowerPoint.

Using this method, you can create a “Heading Style” in PowerPoint as well as “Paragraph Style” for the slides in your presentation.

To do that, we will need to take the help of the “ Slide Master ” in PowerPoint.

Let’s take a look at the steps involved.

Step 1 – Open the Slide Master

The first step of the process is to open the slide master view in PowerPoint. To do that, first, click on the “ View ” tab. Then, from the ribbon, click on the “ Slide Master ” option.

This will open the slide master view in PowerPoint.

Step 2 – Insert a New Slide Layout

Next, since we need to create a custom, we will need to insert a new slide layout in the slide master in PowerPoint.

To do that, click on the “ Insert Layout ” button on the ribbon. Depending on your presentation, inserting a new slide layout may open a layout with a title and text placeholder on it by default.

However, you may even get a blank slide layout. If so, you can easily add placeholders in PowerPoint . Click on the “ Insert Placeholder ” button. Then, from the dropdown, click on the “Text” option to add a text placeholder on the slide layout.

Then, just as you usually add text box in PowerPoint, drag and add the text placeholder on the slide.

Step 3 – Remove the Bullets

In the next step, select all the text in the placeholder and remove all the bullets from the text. Doing so will allow us to leverage the “Increase Indent” option and trigger a different text style.

To remove the bullets from the text, click on the “Home” tab in PowerPoint . Then, click on the “ Bullets ” option. You’ll see that the bullet points get completely removed.

Step 4 – Align All Text to the Left

Once all the bullet points have been removed from the text placeholder, move all the text to align all of it together to the left.

To do that, place your cursor at the beginning of the text. Then, drag the position marker all the way to the left (as indicated in the image above).

Repeat this step for all the levels of text in the placeholder.

Step 5 – Change the Text Styles

This step is crucial as we will create a custom text style by changing the font styles for each level.

First, highlight all the text of the first level. Then, from the “Home” tab, format the text to create a text style. Feel free to change the font type, increase or decrease the font size, make the font bold or thin, or any other changes as per your preference.

For paragraph text style, I’d recommend using a font of 16 points and a thin font style such as “Calibri light” or “Lato Thin”. To get the best effect, you may even choose to change the color of the font and make it dark grey instead of black.

Step 6 – Create Text Styles for All the Levels

Now repeat the step for the text for all the levels in the text placeholder.

Keep in mind that you should at least have one paragraph style, and two to four heading styles.

I personally like to keep the paragraph style on the first level. I also usually prefer to keep the Heading 1, and Heading 2 (or sub-heading) styles on level 2 and level 3 respectively.

I’d also recommend going with one font style for a quote, but this is completely optional.

Step 7 – Save the Slide Layout

Once you have created all the text styles for various levels, click on the “ Slide Master ” tab.

Now, make sure to save this slide layout and rename it so that it is easy to find when we try to apply the slide layout.

To do that, click on the “ Rename ” option from the ribbon. In the pop-up that appears, give the slide layout an appropriate name and click on “ OK “.

Finally, click on “ Close Master ” to exit the slide master and go back to the normal view in PowerPoint.

2. How to Apply Text Styles in PowerPoint

Once you have created the custom text styles as a paragraph style and the heading styles, now it is time to apply these styles in your presentation.

There are a few things that we need to understand when we are applying the custom text style that we just created in PowerPoint.

One thing to understand is that we will only be able to use the custom text style as long as we are using the specific slide layout for the slide.

Let’s see how to do all of that and the remaining steps to apply the custom text style in PowerPoint –

Step 1 – Insert a New Slide

Click on the “ Home ” tab, and click on the “ New Slide ” option to insert a new slide in your PowerPoint presentation.

Step 2 – Apply the Custom Slide Layout

Next, we want to apply the slide layout that we created to the new slide that we have just added in our presentation.

To apply the slide layout, first, click on the “ Home ” tab. Then, click on the “ Layout ” option. From the dropdown that appears, click on the custom slide layout that we just created.

In this example, we will click on the “ Custom Styles in PowerPoint ” slide layout to the slide.

Step 3 – Add Text to the Slide

In the next step, let us add some text to the slide. For the sake of this example, I’ve added some dummy text to the slide.

However, please feel free to go ahead and add the relevant text to your slide.

Remember, the custom text styles that we created are best suited for verbose slides.

Step 4 – Add Column to Text Box

This step is completely optional. However, adding column to text box in PowerPoint is a great way to break the text monotony on the slide.

You can easily add columns in a text box in PowerPoint. Click on the link to checkout my other article on how to add text to columns in a step-by-step manner.

Step 5 – Apply the Text Styles in PowerPoint

Now, highlight the text where you want to apply the custom text styles that we created.

Then, click on the “ Home ” tab and from the “ Paragraph ” options on the ribbon, click on the “ Indent More ” option.

You will notice that the formatting of the text style for the next level will be applied.

Step 6 – Apply Text Styles to Throughout the Slide

Now, select the sentences where you want to apply a different text style and use the “ Indent More ” and “ Indent Less ” buttons to apply the various text styles throughout the slide.

The indent more button will move the text style to the next level. Whereas, clicking on the indent less button once will move the text style up one level. If you want to move more than one level up or down, click on the “Indent” button more than once.

This way, you can easily format the slide using the custom text styles on the slide. The above image shows an example of how the slide looks once the text styles are applied.

3. Changing the Master Text Styles in PowerPoint

If you wish to change the style of all the text in your PowerPoint presentation, you can easily do so by changing the master text styles.

You don’t need to create a new slide layout for that. But the changes that you make need to be made to the text placeholder on the “ Master Slide “.

Remember – changes that we make on the master slide will be applied to all the slide layouts in the slide master.

Step 1 – Open the Slide Master in PowerPoint

To open the slide master in PowerPoint, first, click on the “ View ” tab. Then, click on the “ Slide Master ” option just as we did before.

Step 2 – Edit the Master Text Style

In the next step, first, click on the “Master Slide” i.e. the first slide in the thumbnail view on the left part of the screen. The master slide is larger thumbnail as compared to the other slide layouts in the sequence.

The changes that you make on the master slide are applied to all slides on the presentation. So, for instance, if you were to add a logo to the slide master, it will be visible on all slides layouts and subsequently on all slides in the normal view.

Now, select the text within the text placeholder to edit the master text styles. Highlight all the text.

Then, just as we did earlier in the article, click on the “ Home ” tab and format the text in order to make the desired changes to the master text style.

Step 3 – Exit the Slide Master View

The last step in the process is to exit the slide master view.

To do that, first, click on the “ Slide Master ” tab. Then, click on the “ Close Master ” option and you will return to the “Normal” view in PowerPoint.

4. How to Change the Default Font of Your PowerPoint Presentation?

If you want to change just the type of font used in your PowerPoint presentation instead of changing the master text styles, you can do that too.

To change the default font in PowerPoint, first, click on the “View” tab. Then, click on the “Slide Master” option. In the “Slide Master View”, click on the “Fonts” option. From the dropdown, choose the font as per your desire. Finally, click on “Close Master” to exit the slide master view.

Once again, you will need to open the slide master to change the default fonts for your complete PowerPoint presentation.

Let’s take a look at how it needs to be done –

Step 1 – Open the Slide Master View in PowerPoint

By now, you must be well-versed with opening the slide master in PowerPoint. Simply, click on the “View” tab and then on the “Slide Master” option to open the slide master view in PowerPoint.

Step 2 – Change the Font

The next step is to change the font for your presentation.

Open the master slide in the slide master view. Then, click on the “Fonts” option from the ribbon. Simply click on the font that you wish to go with. You will notice that the fonts immediately change within the slide master.

The final step is to exit the slide master view by clicking on the “Close Master” option.

5. Using Font Styles in PowerPoint

In Microsoft PowerPoint, there are four basic font styles (not to be confused with “Font Type”) available in addition to the master text styles. The font styles basically are used for formatting the text in PowerPoint.

To access those styles, you have to first select the text on the slide.

Then click on the “Home” tab in the menu bar located at the top of the screen. You will find the font style options in the “Font” section of the “Home” menu.

Let’s take a look at all the four font styles in PowrePoint –

The “Bold” option makes the text heavier and darker than the normal text. To make the selected text bold, click on the “Bold” icon which is the letter “B” in the “Font” section.

Alternatively, you can press the “Ctrl+B” keys on your keyboard.

5.2 Italics

The “Italics” font style can be used for making a word stand out in a sentence or paragraph on the slide. To italicize a selected text, click on the “Italics” option that looks like the letter “I” in the “Fonts” sections.

You can alternatively press the “Ctrl+I” keys on your keyboard.

Do you want to have your data in a slide show? If you have Microsoft 365, you can use PowerPoint! PowerPoint is a program that's part of the Microsoft Office suite (which you have to pay for) and is available for both Windows and Mac computers. This wikiHow teaches you how to create your own Microsoft PowerPoint presentation on a computer.

How to Make a PowerPoint Presentation

  • Open the PowerPoint app, select a template and theme, then like “Create.”
  • Click the text box to add your title and subtitle to create your title slide.
  • Click the “Insert” tab, then “New Slide” to add another slide.
  • Choose the type of slide you want to add, then add text and pictures.
  • Rearrange slides by dragging them up or down in the preview box.

Step 1 Open PowerPoint.

  • You can also use the mobile app to make presentations, though it's easier to do this on a computer, which has a larger screen, a mouse, and a keyboard.

Step 2 Select a template.

  • If you don't want to use a template, just click the Blank option in the upper-left side of the page and skip to the next part.

Step 3 Select a theme if possible.

  • Skip this step if your selected template has no themes available.

Step 4 Click Create.

  • If you're creating a PowerPoint presentation for which an elaborate title slide has been requested, ignore this step.

Step 2 Add a title.

  • You can change the font and size of text used from the Home tab that's in the orange ribbon at the top of the window.

Step 3 Add the subtitle.

  • You can also just leave this box blank if you like.

Step 4 Rearrange the title text boxes.

  • You can also click and drag in or out one of a text box's corners to shrink or enlarge the text box.

Step 3 Add text to the slide.

  • Text boxes in PowerPoint will automatically format the bulk of your text for you (e.g., adding bullet points) based on the context of the content itself.
  • You can add notes that the Presentation will not include (but you'll still be able to see them on your screen) by clicking Notes at the bottom of the slide.

Step 4 Format the slide's text.

  • You can change the font of the selected text by clicking the current font's name and then clicking your preferred font.
  • If you want to change the size of the text, click the numbered drop-down box and then click a larger or smaller number based on whether you want to enlarge or shrink the text.
  • You can also change the color, bolding, italicization, underlining, and so on from here.

Step 5 Add photos to the slide.

  • Photos in particular can be enlarged or shrunk by clicking and dragging out or in one of their corners.

Step 7 Repeat this for each slide in your presentation.

How To Get Free Access To Microsoft PowerPoint

E very time you need to present an overview of a plan or a report to a whole room of people, chances are you turn to Microsoft PowerPoint. And who doesn't? It's popular for its wide array of features that make creating effective presentations a walk in the park. PowerPoint comes with a host of keyboard shortcuts for easy navigation, subtitles and video recordings for your audience's benefit, and a variety of transitions, animations, and designs for better engagement.

But with these nifty features comes a hefty price tag. At the moment, the personal plan — which includes other Office apps — is at $69.99 a year. This might be the most budget-friendly option, especially if you plan to use the other Microsoft Office apps, too. Unfortunately, you can't buy PowerPoint alone, but there are a few workarounds you can use to get access to PowerPoint at no cost to you at all.

Method #1: Sign Up For A Free Microsoft Account On The Office Website

Microsoft offers a web-based version of PowerPoint completely free of charge to all users. Here's how you can access it:

  • Visit the Microsoft 365 page .
  • If you already have a free account with Microsoft, click Sign in. Otherwise, press "Sign up for the free version of Microsoft 365" to create a new account at no cost.
  • On the Office home page, select PowerPoint from the side panel on the left.
  • Click on "Blank presentation" to create your presentation from scratch, or pick your preferred free PowerPoint template from the options at the top (there's also a host of editable templates you can find on the Microsoft 365 Create site ).
  • Create your presentation as normal. Your edits will be saved automatically to your Microsoft OneDrive as long as you're connected to the internet.

It's important to keep in mind, though, that while you're free to use this web version of PowerPoint to create your slides and edit templates, there are certain features it doesn't have that you can find on the paid version. For instance, you can access only a handful of font styles and stock elements like images, videos, icons, and stickers. Designer is also available for use on up to three presentations per month only (it's unlimited for premium subscribers). When presenting, you won't find the Present Live and Always Use Subtitles options present in the paid plans. The biggest caveat of the free version is that it won't get any newly released features, unlike its premium counterparts.

Method #2: Install Microsoft 365 (Office) To Your Windows

Don't fancy working on your presentation in a browser? If you have a Windows computer with the Office 365 apps pre-installed or downloaded from a previous Office 365 trial, you can use the Microsoft 365 (Office) app instead. Unlike the individual Microsoft apps that you need to buy from the Microsoft Store, this one is free to download and use. Here's how to get free PowerPoint on the Microsoft 365 (Office) app:

  • Search for Microsoft 365 (Office) on the Microsoft Store app.
  • Install and open it.
  • Sign in with your Microsoft account. Alternatively, press "Create free account" if you don't have one yet.
  • Click on Create on the left side panel.
  • Select Presentation.
  • In the PowerPoint window that opens, log in using your account.
  • Press Accept on the "Free 5-day pass" section. This lets you use PowerPoint (and Word and Excel) for five days — free of charge and without having to input any payment information.
  • Create your presentation as usual. As you're using the desktop version, you can access the full features of PowerPoint, including the ability to present in Teams, export the presentation as a video file, translate the slides' content to a different language, and even work offline.

The only downside of this method is the time limit. Once the five days are up, you can no longer open the PowerPoint desktop app. However, all your files will still be accessible to you. If you saved them to OneDrive, you can continue editing them on the web app. If you saved them to your computer, you can upload them to OneDrive and edit them from there.

Method #3: Download The Microsoft PowerPoint App On Your Android Or iOS Device

If you're always on the move and need the flexibility of creating and editing presentations on your Android or iOS device, you'll be glad to know that PowerPoint is free and available for offline use on your mobile phones. But — of course, there's a but — you can only access the free version if your device is under 10.1 inches. Anything bigger than that requires a premium subscription. If your phone fits the bill, then follow these steps to get free PowerPoint on your device:

  • Install Microsoft PowerPoint from the App Store or Google Play Store .
  • Log in using your existing Microsoft email or enter a new email address to create one if you don't already have an account.
  • On the "Get Microsoft 365 Personal Plan" screen, press Skip For Now.
  • If you're offered a free trial, select Try later (or enjoy the free 30-day trial if you're interested).
  • To make a new presentation, tap the plus sign in the upper right corner.
  • Change the "Create in" option from OneDrive - Personal to a folder on your device. This allows you to save the presentation to your local storage and make offline edits.
  • Press "Set as default" to set your local folder as the default file storage location.
  • Choose your template from the selection or use a blank presentation.
  • Edit your presentation as needed.

Do note that PowerPoint mobile comes with some restrictions. There's no option to insert stock elements, change the slide size to a custom size, use the Designer feature, or display the presentation in Immersive Reader mode. However, you can use font styles considered premium on the web app.

Method #4: Use Your School Email Address

Office 365 Education is free for students and teachers, provided they have an email address from an eligible school. To check for your eligibility, here's what you need to do:

  • Go to the Office 365 Education page .
  • Type in your school email address in the empty text field.
  • Press "Get Started."
  • On the next screen, verify your eligibility. If you're eligible, you'll be asked to select whether you're a student or a teacher. If your school isn't recognized, however, you'll get a message telling you so.
  • For those who are eligible, proceed with creating your Office 365 Education account. Make sure your school email can receive external mail, as Microsoft will send you a verification code for your account.
  • Once you're done filling out the form, press "Start." This will open your Office 365 account page.

You can then start making your PowerPoint presentation using the web app. If your school's plan supports it, you can also install the Office 365 apps to your computer by clicking the "Install Office" button on your Office 365 account page and running the downloaded installation file. What sets the Office 365 Education account apart from the regular free account is that you have unlimited personal cloud storage and access to other Office apps like Word, Excel, and Outlook.

You can also train your own GPT in Copilot Pro. That means you can create a GPT tailored to your needs by giving it a name, description, and set of instructions.

Generating an image using Copilot Pro is easy. Just open the Copilot website in your browser, and then describe the image you want it to create. For example, we asked it to create a cool scene where The Avengers and Men in Black fend off an alien invasion.

Since this is AI, the results will have some obvious issues that humans can easily avoid (Tony Stark being an MIB agent), which is why AI can’t replace human creativity.

To use Copilot Pro in Microsoft 365 apps, you’ll also need a Microsoft 365 subscription, which costs $6.99 per month. Also, make sure you’re using the latest version of the 365 apps. Afterward, you’re good to go.

How to Add Copilot to 365 Apps

When you open a Microsoft 365 app like Word or Excel, you should be able to see the “Copilot” button on the ribbon of the “Home” tab (except for Outlook).

If it’s grayed out, ensure the “AutoSave” toggle in the top-left corner is turned on. Copilot Pro requires that this feature be enabled.

If the Copilot button is still grayed out, updating the license can fix the issue. To do that, click “File” on the left side of the top menu.

Then, click “Account” in the bottom left corner.

Afterward, click “Update License” below Product Information in the right panel.

Click “Sign In” and follow the instructions to sign into your Microsoft account. Make sure it’s the one with the Microsoft 365 and Copilot Pro subscriptions.

You should now be able to see the “Copilot” button in the ribbon of the Home tab. Clicking it, will open a panel on the right where you can prompt Copilot.

Keep in mind that any AI-generated content might be incorrect, so always make sure to double-check it. If you want to find out which prompts you can use, click the “View Prompts” button—the book icon—at the bottom of the Copilot panel.

You’ll see that Copilot can help you with a lot of tasks. This includes summarizing the document, checking for specific information (i.e., deadlines and key points), or expanding certain sections.

Writing Documents in Word

In Word, Copilot can help you draft and rewrite content. To draft something with Copilot, select a new line and then click the Copilot icon on the left or press Alt+i.

In the prompt, type what you want Copilot to draft, and click "Generate" or press Enter.

After it generates the output, you can further tweak it from within the prompt by asking Copilot to, for instance, “make it longer” or “make it formal.” Then, click the right arrow button to regenerate Copilot’s response based on the tweaks you want.

Make sure to click “Keep It” —the blue button—if you like the output.

You can also rewrite text by highlighting it, clicking the Copilot icon on the left, and choosing “Rewrite with Copilot” in the menu.

Generate Formulas and Analyze Data in Excel

You can use Copilot to be productive in Excel by generating formulas. In our sample sheet, we have a Budget and Revenue column for each campaign. We can then prompt Copilot for the profit using these columns.

Copilot will create a new column based on your prompt. To see a preview of the output, hover your mouse pointer over the “Insert Column” button. If it’s accurate, click the button to add it to the sheet.

You can also analyze data in your sheet by typing something like: What is the average revenue of each campaign type as a pie chart? You can even insert the resulting chart into the document by clicking the “Insert to a New Sheet” button.

These are just a few examples of how to generate formulas and analyze data. You can even do some basic editing with Copilot, such as highlighting cells and sorting or filtering items within the sheet.

Creating Presentations in PowerPoint

Copilot is one of the tools that can help you plan a presentation. Click the “Copilot” button in the ribbon of the Home tab. Then, describe the presentation you want it to create. In our example, we typed: Create a presentation about procrastination, including what it is, what causes it, and how to overcome it.

Copilot will create the presentation, complete with content, images, and notes.

You can also prompt Copilot to add more slides by typing something like i nclude a slide about [topic] . You can also add an image by typing something such as a dd an image about [topic].

Drafting Emails in Outlook

You need to use the new Outlook or the web version instead of the classic Outlook if you want to be able to use Copilot. The “Copilot” button only shows up when you’re drafting or responding to an email. Once you click the “Copilot” button in the ribbon of the Message tab, select “Draft with Copilot” in the menu.

Tell Copilot what you want to draft and then click “Generate” in the bottom right of the prompt.

Then, you can choose to keep, discard, or regenerate the response. Alternatively, you can prompt Copilot further by clicking the text box that says “Anything You’d Like to Change?”

From there, you can, for instance, ask Copilot to “make it longer” or “make it sound more direct,” based on your needs.

Copilot Pro has even more advanced features that you can dig into, too. This includes things like enhanced code generation, collaboration tools, and the ability to create your own GPTs.

However, you should be able to use it now to be creative when creating images and being productive in Microsoft 365 apps. Keep in mind that Copilot cannot do everything a human does. In some cases, it might be faster and more accurate to do certain things manually.
