Application Letter Content Your application letter will the employer know what position you are applying for, why the employer should select you for an interview, and how you will follow up.

First Paragraph: The first paragraph of your job application letter should include information on why you are writing.

Mention the job you are applying for and where you found the position. If you have a contact at the company, mention the person’s name and your connection here.

Middle Paragraphs:  The next section of your cover letter should describe what you have to offer the company. Make strong connections between your abilities and the requirements listed in the job posting. Mention specifically how your skills and experience match the job. Expand on the information in your resume, don’t just repeat it. Try to support each statement you make with a piece of evidence. Use several shorter paragraphs or bullets rather than one large block of text, which can be difficult to read and absorb quickly.

Final Paragraph:  Conclude your application letter by thanking the employer for considering you for the position. Include information on how you will follow up. State that you will do so and indicate when (one week’s time is typical). You may want to reduce the time between sending out your resume and following up if you fax or email it.

Modifications If You’re Emailing an Application Letter

If you are emailing an application letter, instead of sending a hard copy, you will need to make a few minor tweaks to the template above.

Skip including your personal information (address, contact information), the date, and the employer’s contact information. Begin your email with the salutation. The body of the email — why you’re writing, what you have to offer the company, and how you will follow up — will be precisely the same as in the template above.

Two different people can write an application letter. One person gets the job, while unfortunately the other person does not get it.

Why is that?

Well, one of the reasons is that what constitute a good application letter is different from what a generic application letter is.

So today, I am going to teach you how to write an application letter that can get you your desired job.

Secondly, your application letter can land you a job interview so it is important that you learn how to write a good application letter.

And guess what the good news is?

What is An Application Letter?

As the name implies, an application letter is a letter you write when applying for a job.

This is the definition of an application letter, in its simplest form. It is formal letters you address to the recruiter letting them know you are interested and qualified for the job role.

The application letter is the first contact the recruiter has with you besides your CV and, in fact, they might see the application letter first because some recruiters require that it be sent as the body of the mail.

Even if it wasn’t sent as the body of the mail, the recruiter might be inclined to open it first to see if there is a need to even proceed to open your CV.

The implication of this is that you have to make sure that your application letter creates a good first impression, enough to make the recruiter want to establish further contact with you. Considering that the letter is not usually lengthy, you have to master the skill of including all that is necessary with.

What Should an Application Letter Contain?

As stated above, you do not have the luxury of space to write too much, so the little space you have, make sure the following features appear;

  • Sender’s Address : Your name and contact info at the top right hand of the page. In the following order, write your name, address, phone number, email address and the current date. Write like you do an address of a formal letter. If you are sending the letter as the body of the mail, write your details at the end of the mail, after the signature.
  • Recipient Address : Then in the next line on the left hand of the page, write the recipient’s name and address, in the same order as yours except that of the recipient will only carry name and address (office address).
  • Salutation : On the line, you address the recipient using the name and proper and title. For instance, “Dear Mr Kensington” is a good idea. Avoid addressing the letter as “To Whom It May Concern”, it gives the recruiter the impression that you have not taken the time to research the company or that you are simply sending random applications. Employers want to feel wanted as well. If you are, however, still uncertain who to address it to, then use “Dear Hiring Manager” instead. 
  • Body of the Letter : There is no generally acceptable number of paragraphs per se of a standard application letter. One thing that is generally accepted is that the letter is not lengthy; anything more than a page is too much. You don’t want to bore the recruiter will unnecessary details. Your CV should carry more of those details that your application letter will highlight. Start by saying the job you are applying for, where you saw the vacancy and how excited you are to apply. Then in the next paragraph, state why you think you are qualified based on the qualifications and experience you have. State only the most relevant ones and don’t exactly go into details. Make sure everything you state is relevant to the job and how it will help you carry out your duties to bring out expected results. Close on a positive note, mentioning you are expecting a favourable response and with a thank you.
  • Signature : Sign out with “Sincerely” or “Best regards” or “Yours faithfully”. Sign and write your name in full. Remember, if you are sending as the body of the mail, your details will follow the signature.

Learning how to successfully write a job application is an important skill to have. In General Training, Writing Task 1, you might be asked to write a job application. So, today we will take a closer look at what you need to include in your response to a potential employer.

The General Training test includes two writing tasks. One is a 250-word essay and the other is a 150-word letter.  

In the letter-writing task you will need to write a letter to someone for a specific purpose, and in your letter address a common, everyday issues or tasks, such as writing a job application letter. 

Today we will look at some key items you need to address to successfully write a job application letter for Writing Task 1. You can also apply most of what you will learn here to any IELTS letter writing task.  

When writing your job application letter, remember to: 

Present a clear purpose – why you are writing the letter 

Use the correct tone 

Address all three bullet points completely and relevantly 

Write in letter format 

Let’s look at the following sample task. And before you read the tips that follow, think about how you would approach this task so you can compare and adapt your approach after you have finished reading this article. Ask yourself specific questions before you write. 

You have learned about an international job that is available within the company you currently work for and you want to apply. 

Write a letter to the hiring manager. In your letter 

Say why you are applying for this international position 

Describe the job you are currently doing for the company 

Tell him/her why you think you will be good at the job 

Begin your letter as follows: Dear Sir or Madam

Find the situation and purpose of the letter

Make sure you read the task carefully to understand the situation and purpose of the letter. Pausing for a moment to analyse the task, highlight key points or take notes will help you build a logical background story and make it easier to write the letter.  

If we look at the question above, it appears that:  

You already work for this company 

You now want to work for them in an international location.  

Ask yourself the following questions to help craft your response: 

Why would someone want to move to another country to work?  

What kind of work could you be doing now that would make you a good candidate to move?  

What special skills or experience could you have that would make you good for the job? 

If we put the above tips into action, we might imagine a scenario where your job application letter would address the following points: 

Maybe you work as a product manager with a company and you are very familiar with the product that is launching in this other part of the world.  

You would also like to travel abroad with your family for the experience and you have all the skills and success stories that would make you the best person to launch the product somewhere else.  

You also speak the mother tongue of that country or perhaps you are fluent in English which is the business language there.  

And remember to write an opening sentence that clearly explains why you are writing the job application. For example:

You will be told in the instructions who you are writing to. If you are told to begin a letter with “Dear Sir or Madam” this is a signal to be formal, using a formal tone. 

In this case, you are writing to the hiring manager, not your boss or anyone you know and you are specifically instructed to begin your letter with ‘Dear Sir or Madam’. So, make sure you do this.  

If you are not given instructions to begin your letter with “Dear Sir or Madam”, then make sure you begin your formal letter with ‘Dear Mr./ Miss/ Mrs. / Ms. Smith’ because you are not friends with the recipient.   

In addition, the purpose of the letter is a serious one because you are applying for a job, so use a more serious tone to write your letter. To keep to the formal tone: 

Begin your letter with a formal address (e.g. Dear Sir or Madam) 

Keep to the point or purpose of the letter and don’t use contractions (e.g. can’t, don’t, won’t) 

Sign your letter off formally (e.g. Yours faithfully, followed by your full name)

Answer all the bullet points

You will notice that this task specifically asks you to do three things in three bullets:  

Say  why  you are applying for this  international position 

Describe the job  you are  currently doing  for the company  that would make you a good choice  

Tell him/her  why you think you will be good at the job in another country  

The highlighted words can help you see how the situation informs this task’s requirements.  

Remember that the ultimate purpose of this letter is to get the job. Therefore, you should keep that in mind when choosing details to include in each bullet and come up with ideas to support that objective. 

Take your time to come up with a good story, so you can better interpret the task and create details that clearly and logically support your points. Take notes to answer the questions in the task. For example: 

When you write your answers, be sure to give examples that support your ideas. 

Use paragraphs

If you are not sure on how many paragraphs to include in your response to the job opening, the simple answer is 5:  

A short one to begin.  

Three longer ones in the middle 

Another short one to end.  

And remember, you must start and finish the letter using the correct letter-writing conventions (Dear.../Yours...). 

For example: 

Dear Sir or Madam: 

Paragraph One begins:  

My name is Mark Jones and I am writing to express my interest in the position of product manager for the launch of moon boots in Italy . . .  

Paragraph Two begins:  

The reason why I am seeking this international position is . . .  

Paragraph Three begins:  

My current position as product manager of moon boots in Australia has given me many valid skills and experiences for this job . . . 

Paragraph Four begins:  

I believe that I am an excellent candidate for two good reasons . . . 

Paragraph Five begins:  

Should you require further information, do not hesitate to contact me. Please find my CV attached. 

Yours faithfully,

Notice how each of the three longer body paragraphs begin with a sentence that directly relates back to the bullets in the task. This is a great way to remind yourself what details to include in that paragraph. It will also make your letter easier to follow.  

You do not have to limit yourself to one paragraph for each bullet point. If you have a lot to say about each bullet point in the task, you can break it out into more paragraphs. 

You can divide supporting details into separate paragraphs, so long as you clearly indicate (using connecting words and/or indenting the next paragraph) when you have moved to the next detail or next main bullet point. 

Practising writing letters can be fun if you take the time to create a logical back story. A good imagination makes it easier, but if you put these tips into practice in your response, you might get more than just the IELTS score you need. It can help you apply for your dream job abroad.

What is a letter?

A letter is a written form of communication between two or more people. It allows people to express themselves in writing.

What is a job application letter?

A job application letter, also known as a cover letter, should be sent or uploaded with your resume when applying for jobs. Writing this letter can seem like a challenging task. However, if you take it one step at a time, you’ll soon be an expert at writing an application letter which will land you the job of your dreams.

This article, however, aims at giving you the guidelines in writing a formal or business letter.

Now in your quest to work as an employee in a reputable company or organisation, you should have an attractive resume and a cover letter for the job application. This will lead you to the door of employment.

Always begin your letter with your contact information at the top left of your letter

Write your address on the top right-hand side of the letter and the address of the recipient thus the person you are writing the letter to on the left side mostly starting from below your address. You should provide a contact for your prospective employer to contact you for further information when the need be.

The date is not part of the address and should be written after the address and the month in words.

It is, however, advisable to read about the organisation or company you wish to work for.

Let them know you are ready to help solve any problem by highlighting your experiences thus if there’s any. You should talk about your accomplishments as well. For example, if the vacant position requires someone who can supervise people in an engineering firm or writing and editing stories as a journalist, it is necessary to speak about your experience by telling them how you performed during your first job but if there is no experience talk about how willing you are to learn on the job.

Briefly talk about your qualifications and abilities or skills that you think should be considered in hiring you for the job. You can refer to your resume or curriculum vitae (CV) and talk about the recent accomplishment. For example, your story as a journalist might have won an award it is highly acceptable to dig deep about it.

Create an image in the eyes of the human resources manager or the person in charge of hiring you. You may have the best resume or CV coupled with an attractive letter but you should create a picture of the personality behind all the accomplishment stated in the letter but it should be short and precise. Don’t beat around the bush.

End your letter by summarising why you are the right person for the job Always end your letter on a good note and let them know your readiness to speak further about the position and also include some form of contact in your letter.

How To Write an Application Letter for Internship

We have written a lot of content on how to write an application letter for job search. However, we thought that “how to write an application letter for an internship” may prove invaluable to tertiary students who constitute a good percentage of our blog readership.

An application letter for an internship is not the same as your regular application letter for employment. Chances are that if you’re applying for an internship you have no real work experience, which is the reason why you’re applying anyway whereas, a full-time employment letter normally stresses on your specific experiences and qualifications, and how they tie into the job requirements.

The perfect application letter for internship should therefore, focus on the following key points:

  • Your education
  • Your passion
  • What you intend to do, rather than what you have done.

Internship Letter Format

Some companies have requirements for applying for internships which they specify on their website. Others have forms you fill out and submit online. In these instances, there may not be the need to write out an application letter as the forms are an adequate requirement.

However, where no such requirements exist and you’re just sending a speculative internship application or to a generic email address, you must get the letter format right in order to catch the employer’s attention.

  • Your physical address, email address and phone number at the top of the page on the right. (These days empolyers are recruiting digitally so it is advicesable you state just your email adress, telephone number and the the date of application.)
  • The name of the business and the contact person’s full name on the left.
  • Specify in the subject of the email, which position you’re applying fo.
  • An address to the reader directly (e.g; “Dear Mr Eshun” – try to avoid using “To whom it may concern” if you can). Where you do not know the addressee, use “Dear Hiring Manager”.
  • Briefly introduce yourself and specify where you heard about the internship.
  • Give background information about your program of study.
  • Showcase the skills and qualities that make you a good intern for the job.
  • End by thanking the hiring manager for their time. Specify a contact number which you csan be reached you at their earliest convenience.
  • Remember to sign before your name.

Other Attributes Count

Since you do not have any formal work experience, you can highlight the following to show you will fit in and not waste anybody’s time:

  • General skills that help you work in a team and as part of an organisation.
  • Personal attributes that will help you learn to work in a professional work environment
  • Volunteer experience or school club leadership positions that highlight your strengths
  • Athletic or sports experience (if relevant)
  • Any hobbies or interests that are relevant to the job or demonstrate your professional experience.
  • Any relevant project or research work you’ve done in the course of your studies.

No Experience, No Problem!

When writing an application letter for an internship, be absolutely honest about the fact that you do not have any real world experience. Yet, if you do have practical experience in an area of interest you’re applying for, be sure to highlight it.

For example, if you previously worked as a storekeeper in your Uncle’s minimart, you could include it as relevant experience when applying to intern for an administrative or similar position. If you conducted your undergraduate research in an area the organisation primarily operates, or deeply cares about, that could be a double bang for you.

Mentorship Opportunity

Highlight your willingness to learn on the job. If you are applying through a specific person you want to work under, demonstrate your desire for mentorship under the person’s professional guidance.

Demonstrate Your Interest in the Company

Research about the company, especially the department you want to intern with. Make reference to specific projects or development within the company that you will be interested in working on. You can even cite a reference within the company, with their permission.

Show how you developed an interest in the company. By demonstrating significant knowledge about the company and its activities by referring to specific projects, press releases or historical information, you show the hiring manager that you have a genuine interest in the company, and this is a big plus that will work in your favour.

Keep the following points in mind when writing your application:

  • What can I offer the company?
  • What are they looking for in an intern and how do I match that profile?
  • Why do I want to work for this company?

Include your CV, no matter how scanty in experience it may look. The key thing to highlight in your CV specific leadership positions held, previous internship, awards received, voluntary work carried out, relevant courses currently studying. You may want to look at how to write a CV on this blog.
